Full job description

Job Objective:

To independently manage the Khatabook Jaipur managed office and ensure the facility remains safe, clean, compliant, operational, client-ready, and professionally maintained every day. The person will own closure of existing deficiencies, daily inspection, vendor coordination, housekeeping/security supervision, compliance documentation, client communication, and proof-based reporting.

Key Responsibilities:

1. Conduct daily opening and closing inspection of all floors, basement, cafeteria, washrooms, meeting rooms, reception, parking, and common areas.

2. Maintain a live facility issue tracker with owner, vendor, priority, approval required, target date, closure proof, and client update status.

3. Ensure closure of UPS room ventilation/cooling issues and maintain UPS installation/commissioning records.

4. Monitor AC performance floor-wise, coordinate preventive maintenance, track breakdowns, and escalate capacity issues with proof.

5. Identify and close water leakage issues in basement, cafeteria, washrooms, and other areas through proper root-cause repair.

6. Maintain electrical and LAN infrastructure, including switches, sockets, LAN faceplates, exposed cables, and safe wiring.

7. Ensure fire-safety system commissioning, smoke detector installation, extinguisher placement, AMC records, signage, and emergency-readiness documentation.

8. Supervise housekeeping staff, uniforms, grooming, cleaning checklist, washroom hygiene, dustbin placement, consumables, pest control, and cafeteria cleanliness.

9. Supervise security staff, uniform/grooming, patrol checklist, parking management, office-opening readiness, and after-hours light/AC/equipment shutdown.

10. Track chairs, workstations, carpets, blinds, door stoppers, wall gaps, meeting-room electrical points, whiteboards, and other furniture/interior issues.

11. Ensure water dispensers, bottled water, pantry consumables, paper cups, tea/coffee vending quality, and backup tanker planning are maintained.

12. Maintain all AMC and audit documents including lift AMC, fire AMC, AC service reports, UPS reports, pest-control records, and vendor service sheets.

13. Coordinate with Khatabook representatives professionally and provide timely updates on open issues and closure timelines.

14. Escalate approvals before making any financial commitment, vendor appointment, replacement decision, or scope change.

The candidate must specifically manage and close these current Khatabook deficiencies:

- UPS room ventilation and cooling

- UPS installation and commissioning report

- Storage-room organization

- Basement and cafeteria leakage

- AC insufficiency and preventive maintenance

- Carpet peeling

- Workstation quality, pinboards, and wall gaps

- Electrical sockets, exposed wiring, LAN faceplates

- Washroom fittings and accessories

- Chair defects and pending chair delivery

- Blinds installation where required

- Door stoppers and handle safety

- Meeting-room charging points, whiteboard film, push/pull signage

- Additional whiteboards

- Housekeeping training, uniform, checklist, and quality

- Security training, patrols, grooming, parking, and daily readiness

- Larger dustbins near workstation zones

- Separate cafeteria and smoking-zone management

- Lift AMC documentation

- Fire alarm, smoke detector, extinguisher, AMC, and commissioning closure

- Floor and emergency-exit signage

- Tea/coffee vending quality and consumables

- First-aid kits

- Pest control

- Drinking-water capacity and preventive tanker planning

Required Skills:

- Facility management experience in office, coworking, BPO, managed office, hotel, hospital, mall, or corporate facility.

- Strong vendor coordination for AC, electrical, plumbing, civil, LAN, fire safety, housekeeping, pest control, and security.

- Ability to maintain checklists, trackers, service reports, closure photos, and compliance documents.

- Professional communication with client representatives.

- Strong follow-up discipline and ability to close issues without repeated reminders.

- Basic knowledge of safety, fire, electrical, housekeeping, security, and AMC processes.

KPIs:

- Daily facility checklist submitted on time.

- 100% critical issues logged with owner, ETA, and proof.

- Fire, lift, UPS, AC, pest-control, and other AMC records maintained.

- Zero unresolved safety/compliance issue without escalation.

- Client complaints reduced week by week.

- Housekeeping and security checklist compliance above 90%.

- Water, AC, electrical, washroom, and pantry disruptions tracked and prevented.

- No closure marked complete without photo/service proof or client confirmation where required.

Approval Boundary:

The Facility Manager may coordinate, inspect, follow up, and recommend action, but cannot independently approve commercial commitments, replacements, vendor payments, new agency deployment, discounts, rent/service concessions, or contractual confirmations. These require management approval.
