Position Overview
We are seeking a proactive, organised, people-oriented, and technically inclined R&D Outsourcing Executive to support the Research & Development department in the execution of ongoing engineering and product development projects.
The candidate will primarily be responsible for coordination, outsourcing, procurement, vendor management, institutional partnerships, and project execution support for R&D activities.
The role requires a technical background sufficient to understand basic engineering requirements and communicate effectively with R&D teams, manufacturers, suppliers, educational institutions, student teams, and external organisations.
Extensive technical or engineering expertise is not required. However, the candidate should have a basic understanding of engineering concepts, materials, components, manufacturing, electronics, and prototyping, along with strong communication, coordination, relationship management, negotiation, follow-up, and people-management skills.
The candidate will coordinate manufacturing and prototyping activities, support procurement of mechanical and electronic components and materials, participate in prototype builds and testing, and develop relationships with educational institutions, student teams, manufacturers, vendors, companies, laboratories, and other external organisations.
A key responsibility will be to identify suitable external teams and organisations and coordinate outsourcing of small R&D and engineering projects while ensuring requirements, timelines, deliverables, and communication are properly managed.
1. R&D Manufacturing & Prototyping
- Coordinate manufacturing and prototyping activities for ongoing R&D and engineering projects.
- Coordinate with manufacturers, fabricators, machining vendors, electronics vendors, and technical suppliers.
- Understand basic project requirements and communicate them clearly to external vendors.
- Obtain and compare quotations for manufacturing and prototyping requirements.
- Follow up with vendors to ensure timely completion and delivery.
- Track manufacturing and prototyping activities and highlight delays or issues to the R&D team.
- Coordinate technical clarifications between R&D engineers and external vendors.
- Support prototype assembly, modification, testing, and demonstrations.
- Maintain records of outsourced manufacturing and prototyping activities.
2. R&D Procurement & Material Coordination
- Coordinate procurement of mechanical and electronic components, raw materials, sensors, hardware, consumables, and other R&D requirements.
- Support R&D teams in identifying and sourcing suitable components and materials.
- Obtain quotations and coordinate with vendors and suppliers.
- Compare vendors based on availability, lead time, cost, quality, and suitability.
- Maintain procurement trackers for ongoing R&D projects.
- Follow up on purchase requirements from requisition through delivery.
- Coordinate with Procurement, Stores, Finance, and R&D teams for timely receipt of materials.
- Identify alternate suppliers or components when required.
- Maintain records of suppliers, components, materials, quotations, and purchases.
- Support urgent procurement requirements.
3. Vendor & External Partner Management
- Identify and develop relationships with manufacturers, engineering companies, prototyping firms, electronics vendors, laboratories, startups, and other technical organisations.
- Build and maintain a database of vendors and external technical partners.
- Communicate project requirements and coordinate discussions between external organisations and R&D teams.
- Monitor vendor performance, delivery timelines, commitments, and deliverables.
- Conduct regular follow-ups with vendors and external partners.
- Coordinate resolution of communication, delivery, quality, and execution issues.
- Identify new vendors, organisations, and outsourcing opportunities.
- Build and maintain long-term professional relationships with reliable partners.
4. Educational Institution & Student Team Coordination
- Identify and establish relationships with engineering colleges, universities, technical institutions, incubators, innovation cells, and student organisations.
- Develop a network of institutions and student teams capable of undertaking small R&D and engineering projects.
- Coordinate with faculty members, project coordinators, innovation cells, incubation centres, and student teams.
- Identify suitable teams based on project requirements, capabilities, availability, and previous work.
- Coordinate outsourcing of small R&D, engineering, prototyping, testing, research, and development activities.
- Communicate project requirements, deliverables, timelines, and responsibilities clearly.
- Track project progress and conduct regular follow-ups.
- Coordinate project reviews, demonstrations, testing, and evaluations.
- Ensure project deliverables are received and submitted to the concerned R&D team.
- Maintain records of institutions, teams, contacts, projects, deliverables, and outcomes.
- Develop long-term relationships with high-performing institutions and student teams.
5. Outsourcing to External Companies
- Identify companies, startups, engineering firms, laboratories, research organisations, and other external organisations capable of supporting R&D activities.
- Understand broad project requirements and identify suitable external organisations.
- Coordinate outsourcing of small engineering, manufacturing, prototyping, testing, and research projects.
- Coordinate communication between external organisations and internal R&D teams.
- Track project milestones, timelines, deliverables, and pending actions.
- Coordinate demonstrations, inspections, testing, and delivery of outsourced work.
- Maintain documentation and records of outsourced projects.
- Support the R&D department in expanding its external technical ecosystem.
6. Prototype Build & Testing Support
- Participate in prototype assembly, testing, demonstrations, and basic troubleshooting.
- Coordinate with R&D engineers during prototype development and testing.
- Arrange required components, materials, tools, equipment, and external resources.
- Coordinate with laboratories, testing agencies, educational institutions, and external organisations for testing requirements.
- Support preparation of prototypes and test articles for trials, demonstrations, and evaluations.
- Maintain records of prototype builds, tests, observations, issues, and outcomes.
- Coordinate modifications and corrective actions arising from testing.
7. R&D Project Coordination
- Track procurement, manufacturing, prototyping, testing, and outsourcing activities across ongoing R&D projects.
- Maintain project trackers covering activities, deadlines, vendors, deliverables, and pending actions.
- Coordinate between R&D teams and external stakeholders to ensure timely completion.
- Follow up on pending requirements and highlight potential delays or risks.
- Assist R&D teams in planning procurement and external resources in advance.
- Support project reviews and prepare status updates.
- Ensure outsourced activities remain aligned with project requirements and timelines.
8. Events & External Coordination
- Support technical demonstrations, prototype showcases, competitions, exhibitions, testing activities, and other R&D events.
- Coordinate with educational institutions, student teams, vendors, sponsors, companies, and other stakeholders.
- Arrange prototypes, equipment, materials, transportation, manpower, and other event requirements.
- Coordinate movement, setup, operation, and return of prototype and demonstration equipment.
- Support participation in technical competitions, innovation challenges, exhibitions, and similar activities.
- Maintain event records and develop relationships with relevant external stakeholders.
9. People & Team Coordination
- Coordinate and manage small external teams working on outsourced R&D and engineering projects.
- Communicate project objectives, responsibilities, timelines, and deliverables clearly.
- Maintain regular communication with vendors, student teams, technical partners, and other stakeholders.
- Conduct regular follow-ups and progress reviews.
- Identify coordination issues and work towards timely resolution.
- Ensure stakeholders remain aligned with project requirements and timelines.
- Escalate technical or project-related issues to the appropriate R&D personnel.
- Maintain professional and productive relationships with external teams and partners.
10. Documentation & Reporting
- Maintain R&D procurement, vendor, project, and outsourcing records.
- Update procurement, manufacturing, testing, and project trackers.
- Maintain records of quotations, purchase requirements, deliverables, meetings, reviews, and key decisions.
- Prepare daily activity and project status reports.
- Highlight delays, risks, shortages, coordination issues, and matters requiring management attention.
- Prepare reports and presentations as required by the R&D department.
11. AI & Digital Tools
- Use AI tools for research, vendor identification, technical information gathering, documentation, comparison, communication, and project coordination.
- Use digital platforms to maintain procurement, vendor, project, and outsourcing databases.
- Use digital tools to track activities, deadlines, follow-ups, and deliverables.
- Explore and implement tools that improve procurement and outsourcing efficiency.
- Maintain organised digital records of vendors, projects, suppliers, institutions, and external teams.
Qualifications
- B.Tech / B.E. / Diploma in Mechanical Engineering, Mechatronics Engineering, Chemical Engineering, or another relevant engineering or technical discipline.
- Technical background preferred; extensive technical expertise is not required.
- Basic understanding of engineering, manufacturing, materials, components, electronics, and prototyping.
- Ability to understand basic technical requirements and communicate them effectively.
- Experience in project coordination, vendor management, procurement, manufacturing, prototyping, events, competitions, or technical projects is preferred.
- Experience working with educational institutions, student teams, sponsors, vendors, or external organisations will be an advantage.
- Practical familiarity with engineering materials, mechanical components, sensors, and basic electronic components is preferred.
- Experience in defence, aerospace, engineering, manufacturing, or technology-based organisations will be an advantage.

- Experience in the defence industry will be an advantage.
Pay: ₹30,000.00 - ₹35,000.00 per month
