JOB PROFILEExecutive – O&M Operations, Billing & Manpower Procurement

Job Title: Executive – O&M, Billing & Manpower Procurement
Department: Operations / Commercial
Employment Type: Full-Time
Location: Chennai / Project Sites
Salary: ₹20,000 – ₹25,000 per month
Experience: 2–4 years in Operations & Maintenance (O&M) / Facility Management / MEP Services
Qualification: Diploma / B.E. / B.Tech – Mechanical or Electrical Engineering

Job Purpose

We are looking for an experienced and responsible Executive with a background in Mechanical or Electrical Engineering and Operations & Maintenance (O&M) to manage invoicing, client coordination, payment collection, manpower procurement and operational activities.

The candidate will be required to work in both office and field environments, regularly interact with clients, visit project sites, coordinate with Accounts and Operations teams, follow up on outstanding payments and ensure timely fulfilment of manpower requirements.

Key Responsibilities1. Invoicing & Billing

Coordinate and manage the complete monthly invoicing process for O&M / AMC projects.
Collect required documents from site teams for invoice preparation.
Verify attendance, manpower deployment, service reports, work completion reports and other billing documents.
Prepare and submit invoices to clients within the agreed timelines.
Coordinate with the Accounts/Finance team for invoice processing.
Follow up with clients for invoice approval and resolve billing-related queries.
Maintain an updated invoice submission and outstanding tracker.

2. Client Meeting & Payment Collection

Conduct regular client meetings for invoice clarification and payment follow-up.
Visit client offices and project sites for payment collection and commercial discussions.
Coordinate with Client Finance, Purchase, Commercial and Administration departments.
Follow up on outstanding payments and ensure timely collection.
Prepare weekly/monthly payment collection status reports for management.
Escalate delayed payments and unresolved commercial issues to the concerned management team.

3. O&M Operations Coordination

Coordinate with site teams regarding day-to-day Operations & Maintenance activities.
Understand O&M requirements, manpower deployment, service schedules and client requirements.
Monitor site-level operational issues and coordinate with the concerned teams for timely resolution.
Support the Operations Head / Project Manager in maintaining service quality and client satisfaction.
Coordinate with site supervisors and engineers for operational updates and reports.

4. Manpower Procurement & Recruitment

Manage manpower procurement requirements for O&M projects.
Coordinate with recruitment agencies, manpower consultants and internal recruitment sources.
Source candidates for Electrical, Mechanical, HVAC, Plumbing, Facility Management and other O&M positions.
Screen candidates based on project requirements and qualification.
Coordinate interviews, salary discussions, documentation and joining formalities.
Track selected candidates until their successful deployment at project sites.
Maintain a manpower requirement and recruitment tracker.
Ensure urgent manpower requirements are fulfilled within the required timeline.

5. Field & Office Responsibilities

Work effectively between office and client/project sites.
Travel to client locations for meetings, payment follow-up, manpower requirements and operational coordination.
Coordinate between Clients, Site Teams, Accounts, HR, Recruitment Agencies and Management.
Collect and verify documents required for billing and commercial activities.
Prepare MIS reports, trackers and management updates.
Handle multiple project requirements and ensure timely follow-up.

Educational Qualification

Mandatory:

Diploma / B.E. / B.Tech in Mechanical or Electrical Engineering.

Preferred:

Candidates with experience in O&M / Facility Management / HVAC / MEP / AMC operations will be preferred.

Experience

2–4 years of relevant experience in Operations & Maintenance, Facility Management, MEP or AMC projects.
Experience in client coordination, billing/invoicing, payment follow-up and manpower recruitment will be highly preferred.
Candidates with practical knowledge of site operations and client handling will have an added advantage.

Required Skills

Strong client communication and negotiation skills.
Good knowledge of O&M / Facility Management activities.
Strong follow-up skills for payment collection.
Good understanding of invoicing and commercial documentation.
Good manpower sourcing and recruitment coordination skills.
Proficiency in MS Excel, MS Word and Email communication.
Good reporting and MIS preparation skills.
Ability to work independently at client locations.
Willingness to travel to project sites as required.
Good coordination and time-management skills.

Key Performance Indicators (KPI)

Timely submission and processing of monthly invoices.
Reduction of outstanding and overdue payments.
Timely payment collection from clients.
Successful resolution of client billing queries.
Timely fulfilment of O&M manpower requirements.
Effective coordination with site teams and clients.
Maintaining accurate billing, payment and manpower trackers.
Improved client satisfaction and operational coordination.

Candidate Profile

The ideal candidate should be a Mechanical or Electrical Engineering graduate/diploma holder with hands-on O&M experience, strong communication skills and the ability to interact confidently with clients.

The candidate should be comfortable handling both field and office responsibilities, including client meetings, payment collection, invoicing, O&M coordination and manpower procurement.

Salary: ₹20,000 – ₹25,000 per month
