About The Role
Your primary responsibility is to convert customer inquiries into successful orders.
Every customer contacting Gift Hatke is looking for a meaningful gift.
Your responsibility is to understand their occasion, recommend the best personalized product, answer their questions, and guide them through the purchase process until the order is confirmed.
You are not simply answering calls—you are helping customers create memorable gifts.
Primary ResponsibilitiesLead Management
Contact all new leads promptly.
Handle inquiries received from:
- Facebook Ads
- Instagram
- WhatsApp
- Website
- Google
- Walk-in Customers
- Referrals
Sales
Understand customer requirements.
Recommend suitable personalized gifts.
Explain product features.
Explain customization options.
Provide pricing.
Handle objections.
Close the sale.
Upsell premium options whenever appropriate.
WhatsApp Communication
Manage WhatsApp conversations professionally.
Collect:
- Photos
- Names
- Dates
- Quotes
- Design requirements
Send previews when required.
Follow up until the customer confirms the order.
Customer Service
Maintain a friendly and professional attitude.
Handle customer concerns.
Resolve complaints professionally.
Coordinate with production if changes are required.
Keep customers informed about order progress.
CRM Management
Maintain accurate records for every lead.
Update:
- Lead status
- Follow-up dates
- Customer remarks
- Order value
- Source of lead
No customer inquiry should remain unattended.
Coordination
Work closely with:
- Graphic Design Team
- Production Team
- Dispatch Team
Ensure smooth order completion.
Daily Responsibilities
Every working day, you will:

✔ Reply to Instagram and Facebook inquiries
✔ Follow up with previous customers
✔ Update CRM
✔ Confirm pending orders
✔ Coordinate customization details
✔ Ensure customer satisfaction

Performance Expectations (KPIs)
Performance is measured based on quality, consistency, and results.
Daily KPIs
- Contact all fresh leads within 15 minutes during working hours.
- Make 50–70 meaningful customer conversations per day (the exact number depends on lead quality).
- Ensure 100% of assigned leads receive an initial response.
- Complete all scheduled follow-ups before the end of the day.
- Update the CRM accurately after every interaction.
Weekly KPIs
- Maintain a healthy lead-to-order conversion rate (target to be set based on lead quality).
- Keep overdue follow-ups close to zero.
- Achieve high customer satisfaction with courteous and timely communication.
Monthly KPIs
