Job Summary
We are looking for an experienced and responsible MEP Store & Purchase Incharge to manage store operations, inventory control, procurement activities, and material planning for HVAC and other MEP-related projects. The ideal candidate should have strong knowledge of HVAC materials and spare parts, vendor management, purchase procedures, inventory control, advanced MS Excel, and ERP/Store Management Software.
Key ResponsibilitiesStore Operations & Inventory Management
- Manage day-to-day MEP store operations with a primary focus on HVAC materials.
- Maintain inventory of HVAC, plumbing, electrical, ducting, piping, insulation, and project consumables.
- Handle inward and outward material entries accurately.
- Ensure proper storage, identification, and preservation of all MEP materials.
- Conduct regular stock verification, reconciliation, and inventory audits.
- Monitor minimum stock levels and initiate purchase requests to avoid shortages.
Purchase & Procurement
- Manage end-to-end procurement of HVAC and MEP materials.
- Source materials from approved vendors and obtain competitive quotations.
- Compare quotations and negotiate pricing, delivery schedules, and payment terms.
- Prepare Purchase Orders (POs) and coordinate timely material procurement.
- Follow up with suppliers regarding pending orders, dispatch, and deliveries.
- Develop and maintain strong relationships with vendors and suppliers.
Reporting & Documentation
- Maintain accurate inventory and procurement records using advanced MS Excel and ERP/Store Management Software.
- Generate MIS reports, stock reports, purchase reports, and inventory analysis reports.
- Maintain documentation for Purchase Orders, GRNs, material issue slips, delivery challans, invoices, and stock registers.
- Coordinate with the Purchase, Projects, Accounts, and Service departments for material planning and documentation.
Coordination & Compliance
- Ensure timely availability of materials for project execution and service activities.
- Coordinate with project engineers, site supervisors, vendors, and procurement teams.
- Maintain housekeeping, safety, and proper material stacking within the store.
- Ensure compliance with company inventory, procurement, and material handling procedures.
- Support cost control initiatives through efficient inventory and procurement management.
Required Skills
- Strong knowledge of HVAC spare parts, ducting, piping, insulation materials, copper pipes, fittings, refrigerants, and HVAC accessories.
- Good knowledge of Electrical and Plumbing (MEP) materials.
- Strong understanding of purchase procedures, vendor management, and procurement processes.
- Advanced MS Excel knowledge (Formulas, Pivot Tables, VLOOKUP, XLOOKUP, Data Analysis, etc.) – Mandatory
- Experience with ERP / Store Management Software – Mandatory
- Inventory control and stock management skills.
- Vendor negotiation and purchase planning skills.
- Strong documentation, reporting, and MIS preparation.
- Good communication and coordination abilities.
- Ability to independently manage both store and procurement functions.
Preferred Candidate Profile
- 2–5 years of experience in an MEP or HVAC Store & Purchase role.
- Candidates from HVAC contracting, MEP contracting, or facility management companies will be preferred.
- Strong MIS reporting, procurement, and inventory management experience.
- Team handling and coordination capability.
- Ability to work in a fast-paced project environment.
- Knowledge of BOQ, material estimation, and project procurement will be an added advantage.
