Full job description

Calendar & Meeting Management:Schedule appointments, manage executive calendars, and coordinate logistics for meetings.
Communication:Handle phone calls, emails, and other correspondence, filtering and directing information to the appropriate people.
Travel & Itinerary:Arrange and book travel, accommodation, and transportation, and create detailed itineraries.
Document & File Management:Prepare, edit, and organize reports, presentations, and other documents; maintain confidential filing systems.
Office Operations:Manage office supplies, ensure meeting rooms are presentable, and sometimes oversee basic reception duties.
Executive Support:Provide high-level administrative support to ensure senior executives can focus on strategic priorities.
Confidentiality:Handle sensitive and confidential information with discretion and professionalism.

Key Skills & Qualifications

Organizational Skills:Exceptional ability to multitask and manage multiple priorities efficiently.
Communication Skills:Strong written and verbal communication skills to interact professionally with internal and external stakeholders.
Technical Proficiency:Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and potentially other office and HR software.
Professionalism:A high degree of professionalism, discretion, and integrity.
Proactiveness:The ability to anticipate needs and take initiative to ensure smooth office operations.
