About the Role:
Neximm Immigration is looking for an organised and detail-oriented Immigration Documentation & Administrative Executive to support our documentation, data-entry, file-management, and administrative operations.
The role will involve preparing and organising documents, entering information into forms and internal systems, maintaining client files, and coordinating with our Canada-based team.
The ideal candidate should have good computer skills, strong written and verbal English, excellent attention to detail, and the ability to manage multiple documents and tasks accurately.
This is an administrative and documentation support role. The successful candidate will work under the direction of authorised team members and will not independently provide immigration or legal advice.
Key Responsibilities:
Documentation & Data Entry
- Prepare and organise immigration-related forms and documents using information provided by clients and authorised team members.
- Enter information accurately into forms, internal systems, spreadsheets, and relevant portals.
- Review documents for missing information, spelling errors, inconsistencies, and formatting issues.
- Organise supporting documents, checklists, and document packages for internal review.
- Update documents when new or corrected information is received.
- Maintain accurate records and case-status trackers.
File & Records Management
- Organise and maintain digital client files and documentation.
- Upload, download, scan, rename, and organise files according to internal procedures.
- Maintain Excel spreadsheets, trackers, and administrative records.
- Ensure documents are properly labelled and stored in the appropriate folders or systems.
- Follow company procedures for document handling and information security.
Coordination & Follow-Up
- Follow up with clients regarding missing documents or information when required.
- Coordinate with internal team members regarding incomplete documentation.
- Communicate with the Canada-based team during the assigned shift.
- Provide timely updates on assigned tasks and pending documentation.
- Escalate discrepancies, incomplete information, or complex matters to the appropriate team member.
- Complete assigned tasks within established deadlines.
Confidentiality & Professional Conduct
- Handle client documentation and information responsibly and confidentially.
- Follow company procedures for data handling, document storage, and information security.
- Maintain professionalism when communicating with clients and internal team members.
- Use client information only for authorised work-related purposes.
Candidate Requirements
- Good working knowledge of computers and office applications.
- Proficiency in Microsoft Word and Microsoft Excel.
- Good typing and data-entry skills.
- Strong attention to detail and accuracy.
- Good written and verbal English communication skills.
- Ability to follow instructions and established processes.
- Good organisational and time-management skills.
- Ability to manage multiple files and tasks.
- Comfortable working independently during night-shift hours.
- Comfortable coordinating with an international team.
- Responsible and professional approach to handling confidential documentation.
Preferred Qualifications:
The following will be considered an advantage:
- Previous experience in documentation, administration, data entry, back-office operations, or customer support.
- Experience working with immigration, visa, or application documentation.
- Familiarity with Canadian immigration documentation or application processes.
- Experience using CRM or case-management systems.
- Strong Excel and digital file-management skills.
- Previous experience working with international teams or night shifts.
Freshers are welcome to apply if they have strong computer skills, good English communication, attention to detail, and a willingness to learn.
Working Schedule:
Shift: Night shift aligned with Canadian business hours.
The exact working hours will be confirmed based on the assigned team's operating schedule and may vary depending on Canadian daylight-saving time changes.
Work Arrangement: Based in Dehradun, Uttarakhand.
