Full job description

Roles & Responsibilities: Administrative Assistant

1. Facility & Maintenance Coordination

Security & Utility Supervision: Monitor daily activities of security personnel, gardeners, and sweepers. Provide guidance and immediately report or highlight any duty misconduct to reporting Manager.
Waste Management: Coordinate regularly with the garbage pickup agency to ensure timely, hygienic, and compliant waste disposal.
Building Maintenance: Coordinate closely with the Plant Head to ensure regular maintenance, repairs, and upkeep of plant building structures.
Cleaning Supplies Management: Arrange and manage raw materials, tools, and supplies required for plant cleaning operations.

2. Workforce & Attendance Verification

Attendance Auditing: Verify the physical presence and daily attendance of both company employees and contract workers and submit accurate reports to the Head of Function (HOF).
OT & Expense Document Control: Manage worker Overtime (OT) documentation and expense vouchers, ensuring all records are duly signed and approved by authorized personnel before submission.

3. Operational Excellence & 5S Implementation

5S Activities & Area Upkeep: Participate actively in 5S (Sort, Set in order, Shine, Standardize, Sustain) initiatives across the facility and arrange required items/resources for designated area owners after obtaining proper approval from authorized personnel.

4. Policy Compliance & Worker Guidance

Policy Enforcement: Guide and monitor plant workers to ensure strict compliance with company policies, safety protocols, and workplace guidelines report to plant Managers & Plant head for any miss conduct or improvement. .

5. HR & Accounts Support

Employee Assistance: Act as a point of contact to assist workers and staff with submitting HR and Accounting documents.
Compliance & Legal Support: Assist the HR and Finance departments with submitting required legal and regulatory documentation.

6. Hospitality & Event Management

Guest & Meeting Support: Prepare meeting rooms and arrange food, beverages, and snacks for visiting guests and official meetings.
Event Support: Assist the HR team in planning, organizing, and executing company events and celebrations.

7. Travel & Logistics Assistance

Travel Bookings: Support the team and visiting guests by coordinating train ticket reservations, hotel accommodations, and local transport.

Job Location : Sachin, Surat, Gujarat (NH 53)

Pay: ₹15,000.00 - ₹18,000.00 per month
