Full job description

Key Responsibilities:

Client Service and Front Desk Operations

Greet clients, visitors, and guests in a professional and courteous manner.
Manage incoming calls, direct inquiries, and handle general correspondence.
Maintain a neat, organized, and welcoming reception area.

Appointment & Meeting Management

Schedule and coordinate appointments, meetings and conference room bookings.
Liaise with lawyers and internal teams regarding client meetings and schedules.
Coordinate and facilitate virtual meetings through Zoom, Microsoft Teams and other conferencing platforms.

Administrative & Office Management

Manage incoming and outgoing mail, courier services, and office correspondence.
Coordinate with external vendors, service providers, and agencies for office-related requirements.
Maintain office supplies and ensure smooth administrative operations across departments.
Support travel bookings, logistics and other administrative requirements as needed.

Client Interaction & Support

Assist clients by providing relevant information and directing them to the appropriate team members.
Ensure all client queries are handled promptly, professionally, and efficiently.
Maintain a high standard of client service and hospitality.

Office Coordination

Coordinate with internal teams to ensure the smooth functioning of office operations.
Assist with event coordination, meetings, and other administrative initiatives.
Support the firm's day-to-day operational and administrative requirements.

Professional Standards & Conduct

Maintain professional grooming, etiquette and presentation standards.
Demonstrate punctuality, reliability, and a proactive approach to work.
Handle confidential and sensitive information with discretion and professionalism.

Qualifications & Experience:

Graduate in Office Administration, Business Administration, or a related field will be an added advantage.
4–6 years of experience as a Front Office Executive cum Admin, preferably in a law firm, consulting firm, or other professional services environment.
Strong communication and interpersonal skills with a professional, client-focused approach.
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and office management tools.
Experience in office administration, vendor coordination, facility management, travel arrangements and general administrative support.
Excellent organizational and multitasking abilities, with a high level of professionalism, discretion, and ability to handle confidential information.

Pay: ₹20,000.00 - ₹30,000.00 per month
