Full job description

To provide day-to-day administrative and operational support to ensure the smooth functioning of the office, including document management, data entry, communication, filing, and assistance in insurance survey and claim-related office activities.

Key Responsibilities:

Office Administration:

1) Handle day-to-day office administrative activities.

2) Maintain office files, registers, records, and correspondence.

3) Receive and distribute incoming letters, documents, courier and other communications.

4) Maintain proper filing and record-retention systems.

Insurance Claim / Survey Support:

1)Assist in receiving and registering new claim assignments.

2) Maintain claim files and ensure that required documents are properly arranged.

3) Assist surveyors in preparing and compiling survey reports and supporting documents.

4) Scan, print, photocopy, rename and organize claim-related documents and photographs.

5) Follow up for pending documents from insureds, clients, workshops and other parties as instructed.

Computer & Data Entry Work:

1) Enter and update claim and office data in Excel and other office software.

2) Prepare basic statements, registers, schedules and correspondence.

3) Handle email communication and download/upload documents as required.

4) Maintain digital folders and ensure proper backup and organization of records.

Communication & Coordination:

1) Coordinate with surveyors, insurance companies, insureds, workshops and other stakeholders as directed.

2) Attend telephone calls and convey messages accurately.

3) Follow up on pending assignments and documents.

4) Maintain professional communication with clients and visitors.

Office Support:

1) Assist in scheduling meetings and appointments.

2) Maintain stationery and office supplies.

Support general office requirements and documentation.

3) Assist management and surveyors in routine administrative activities.

Required Skills & Qualifications:

Minimum qualification: 12th Standard / Diploma / Graduate.

Basic knowledge of MS Word, MS Excel, Email and Internet.

Good typing and data-entry skills.

Good communication and interpersonal skills.

Ability to maintain confidentiality of client and claim-related information.

Good organizational skills and attention to detail.

Previous experience in an insurance office, surveyor's office, automobile workshop, or similar administrative role will be an advantage.

Willingness to learn.

Ability to work independently as well as in a team.

Good follow-up skills.

Accuracy in documentation and data entry.
