The Team
The EA will serve as a strategic partner, providing high-level administrative and operational support to Managing Directors and project teams. This role requires a proactive, resourceful, and detail-oriented professional who can work independently and manage multiple priorities in a fast-paced environment.
How you will contribute
The ideal candidate will have one or more of the following responsibilities:
1. Executive & Administrative Support
Manage complex calendars, meetings, and appointments for senior leaders.
Coordinate internal and external meetings, including agendas, meeting logistics, and follow-up on action items.
Manage executive correspondence, emails, and scheduling priorities.
Prepare presentations, reports, meeting materials, and other business documents.
Maintain confidential records, files, and documentation.
2. Project & Operational Coordination
Submit requests for new project/client codes.
Submit conflict check requests and coordinate with relevant internal teams.
Review conflict check results and escalate issues where required.
Create and maintain project folders in accordance with organizational standards.
Perform periodic audits of project folders to ensure compliance and appropriate documentation.
Track project milestones, deadlines, and follow up on outstanding actions.
3. Financial & Expense Administration
Draft client invoices and support invoice processing.
Enter and submit time and expense reports accurately and within deadlines.
Coordinate with Finance regarding billing, project administration, and related queries.
Support budget tracking and expense reconciliation where required.
4. Travel & Event Coordination
Arrange domestic and international travel, including flights, accommodation, transportation, visas, and itineraries.
Prepare detailed travel schedules and logistics for executives.
Coordinate leadership meetings, workshops, and team events.
Provide logistical support for internal and external events.
5. Marketing & Business Support
Assist with basic marketing and business development activities, including:
Supporting event planning and coordination
Editing and formatting PowerPoint presentations.
Assisting with preparation of marketing materials and client-facing documents.
Coordinate with internal teams to ensure timely completion of deliverables.
6. Stakeholder Coordination
Liaise with internal departments including Finance, HR, IT, Marketing, and Legal to facilitate day-to-day operations.
Coordinate with external vendors, clients, and business partners as required.
Build strong working relationships while ensuring timely communication and follow-ups.
7. General Administrative Support
Qualifications
- 3-5 years in administrative support or business operations supporting global stakeholders across multiple time zones.
- Excellent interpersonal, customer service, and stakeholder management skills, with the ability to support multiple executives.
- Strong verbal and written communication skills.
- Exceptional organizational, calendar management, and multitasking abilities with strong attention to detail.
- Ability to manage competing priorities, work under pressure, and meet deadlines in a fast-paced environment.
- Proactive, self-motivated, and collaborative, with a high level of professionalism, discretion, and confidentiality.
- Experience coordinating projects or initiatives and managing cross-functional activities.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and familiarity with tools such as Salesforce, Concur, Box, or similar business applications.
- Willingness to learn new systems, adapt to changing priorities, and continuously improve processes
