We are seeking a hands-on CRM & Marketing Automation Specialist to manage and optimize the HubSpot platform across Marketing, Sales, and Service Hubs. Reporting to the Marketing Director, Digital & Communications, this role will help connect customer data, automate key processes and provide our teams with the information they need to manage leads, customer relationships and claims more effectively. You will work closely with stakeholders across SUNPAN’s North American operations to translate business requirements into practical and scalable HubSpot solutions. To align with corporate headquarters and ensure timely delivery of project deliverables, this role will be required to work during EST hours.
PRINCIPAL FUNCTIONS & OBJECTIVES

CRM Management:
- Support the day-to-day administration of our CRM platform,
- Manage users, teams, permissions, properties, lists, pipelines, lifecycle stages, lead statuses, segmentation criteria, record associations, and other platform settings.
- Monitor data flowing between HubSpot, SAP, Website, Repzio, and other connected systems and ensure the platform is performing as expected. As needed, troubleshoot platform issues in coordination with internal teams, technology partners, and/or HubSpot representatives.
- Integrate SUNPAN’s marketing channels – website, social media, email among others with HubSpot and suggest additional platforms with the goal of improving business processes.
- Build and maintain lead-routing and assignment rules based on territory, geography, customer type, account ownership and other criteria. Ensure new leads and trade account registrations are assigned to the appropriate sales representatives.
- Create dashboards and reports for sales representatives, Sales leadership, Marketing, and Claims teams.
- Configure sales pipelines, tasks, notifications, sequences and supporting automation.
- Build Service Hub ticket workflows and automated communications for Client Relations and Claims.
- Identify opportunities to reduce manual work and improve consistency throughout the sales, marketing and claims processes through proactive road mapping in consultation with sales, client service, and marketing teams.
- Gather requirements, test platform enhancements and coordinate implementations with internal and external technical partners.
- Evaluate, test and implement new HubSpot features based on SUNPAN’s business requirements.
- Maintain a structured backlog of platform enhancements, defects and process-improvement opportunities.
- Develop documentation, training materials and user guides. Provide ongoing HubSpot training and support to users across departments.
- Marketing Automation:
- Create marketing workflows for onboarding, nurturing, account activation, re-engagement, events and product launches.
- Build and maintain lead-routing and assignment rules based on territory, geography, customer type, account ownership and other business requirements.
- Work with email marketing and content teams to plan and design email templates for different stages of the customer lifecycle.
- Integrate HubSpot with sales channel (ERP) and marketing channels such as website, social media, email to track user behaviour to build tailored marketing campaigns.
- Develop and maintain processes for identifying duplicate records, standardizing information and addressing incomplete or inaccurate data.
- Support customer data ownership, governance and quality-control processes across departments.
- Help establish clear standards for how contacts, companies, leads, deals, tickets and customer activities are recorded.
- Ensure customer data is managed in accordance with SUNPAN’s privacy, security and access-control policies.
- Perform ad hoc tasks as assigned to support evolving business needs.
KEY SKILLS AND EXPERIENCE
- At least 3 years of work experience in CRM administration (HubSpot), marketing automation, revenue operations, sales operations or business systems, preferably in the B2B space. Strong experience with Marketing Hub, Sales Hub and Claims Hub is preferred.
- Demonstrated experience building workflows, lists, lead-routing rules, pipelines, dashboards and reports.
- Deep understanding of CRM data structures, database hygiene, segmentation and lifecycle management.
- Collaborative team player with the ability to translate business needs into practical solutions.
- Bachelor's and/or Master’s in degree in Computer Science, Information Technology, Information Systems or a related field. HubSpot certifications preferred.
- Experience supporting CRM integrations with ERP, e-commerce or other business and marketing platforms.
- Highly organized, analytical, and detail-oriented with the ability to work under tight deadlines and shifting priorities.
- Motivated self-starter with the ability to work independently and in a team setting with a razor-like focus on continuous improvement.
- Experience supporting international or North American stakeholders is an asset.
