About the Role
Artificilux VN Pvt. Ltd. is looking for a Chief Operating Officer (COO) / Operations Manager to take ownership of the company’s day-to-day operations and ensure smooth execution across departments, timely project delivery, strong team performance, exceptional client experience and operational excellence.
The ideal candidate will be a strong operations and people leader who can independently identify and resolve operational issues, coordinate multiple departments, manage priorities, monitor performance and ensure that the company operates efficiently without unnecessary dependence on senior leadership.
Key Responsibilities
- Lead and manage the complete day-to-day operations of the company.
- Conduct and coordinate daily operations meetings and ensure clear task allocation.
- Coordinate across departments, Project Managers and team members.
- Manage workflows, resource allocation, SOP implementation and process improvement.
- Ensure timely project completion and client delivery.
- Handle client issues, escalations, delivery planning and client experience.
- Monitor client health, satisfaction and retention.
- Track team performance, productivity, attendance, discipline and daily follow-ups.
- Resolve team conflicts and ensure effective internal coordination.
- Manage project priorities, deadlines, workload distribution and operational risks.
- Monitor quality and ensure consistent standards across projects.
- Drive business improvement initiatives, service improvement and process innovation.
- Support client growth, account expansion and collaboration planning.
- Coordinate hiring, interviews, onboarding, training and employee performance reviews.
- Manage ClickUp, dashboards, KPIs, daily reporting and operational documentation.
- Prepare daily, weekly and monthly operational reports for leadership.
- Coordinate closely with management and participate in business reviews and execution planning.
- Take operational decisions within assigned authority and resolve issues before unnecessary escalation.

Daily Responsibilities
The COO / Operations Manager will be responsible for reviewing active clients and projects, tracking pending tasks and delivery timelines, resolving client and team issues, coordinating with Project Managers and department heads, monitoring KPIs and ClickUp dashboards, ensuring resource availability and submitting daily operational reports to leadership.
Success in This Role
The successful candidate will ensure that daily operations run smoothly without constant Founder intervention, clients receive timely delivery and a premium experience, teams remain productive and coordinated, issues are resolved quickly, projects are delivered on time with consistent quality, and continuous process improvements are implemented. The ultimate objective is to allow the Founder to focus primarily on strategy, growth and major business opportunities rather than daily operations.
