Business & Finance Executive Assistant

Work Mode: On Site
Employment Type: Full-time

About the Role

We are looking for a smart, proactive and highly responsible Virtual Business & Finance Executive Assistant to support day-to-day business, finance, research, communication and administrative activities.

This is role requiring someone who can work independently, communicate professionally with external organizations and take ownership of assigned tasks.

The ideal candidate should be comfortable working on emails, phone calls, online research, Excel, banking/finance coordination and business communication.

Key Responsibilities1. Business Research & Lead Sourcing

Research and identify potential business leads, clients, suppliers and partners.
Build and maintain lead/contact databases.
Research companies, markets, competitors and new business opportunities.
Find relevant organizations and decision-makers online.
Prepare research reports and summaries.

2. Email & Phone Communication

Excellent English communication is mandatory.

Handle professional business emails.
Draft and send emails on behalf of the company.
Make and receive professional calls in English.
Communicate with banks, vendors, clients, service providers and other organizations.
Follow up on pending emails, calls and requests.
Maintain professional communication and records.

3. Business & Investment Ecosystem Research

Candidates with an interest in the startup and investment ecosystem will be preferred.

The role may involve:s.

Finding relevant contacts and maintaining databases.
Researching startup programs, accelerators and business networks.
Understanding basic funding stages and investment terminology.
Tracking relevant business and investment opportunities.

Previous internship/work experience with financial organizations will be an advantage.

4. Schemes & Business Opportunities

Research government schemes, and business support programs.
Find relevant loans and financial schemes.
Check eligibility, documentation and application requirements.
Prepare concise summaries of useful opportunities.

5. Banking & Finance Coordination

Coordinate with banks for routine business requirements.
Follow up regarding bank accounts, loans, CC/OD limits and documentation.
Coordinate with CA/accountants for required documents.
Collect and organize financial information.
Track payments, expenses and important financial records.

6. Basic Accounts & Excel

Maintain basic financial records.
Assist with invoices, payments and expense tracking.
Maintain Excel / Google Sheets.
Prepare basic reports and summaries.
Organize financial and business documents.

7. Executive & Administrative Support

Manage assigned tasks and follow-ups.
Coordinate with different people and organizations.
Maintain task lists and deadlines.
Assist with business documentation and online applications.
Handle other business-related tasks as required.

Mandatory Requirements⭐ Excellent English Communication — MUST

The candidate must be confident speaking professional English on phone calls.

You should be able to:

Make business calls independently.
Speak with banks, companies, vendors and clients.
Understand English conversations.
Write professional emails.
Explain requirements clearly.
Follow up confidently and professionally.

Candidates who are not comfortable speaking English on phone calls will not be suitable for this role.

Other Required Skills

Good MS Excel / Google Sheets knowledge.
Basic understanding of accounts and finance.
Strong internet research skills.
Good written English.
Excellent follow-up skills.
Ability to work independently from home.
Good time management.
Fast learner and proactive attitude.
High level of responsibility and confidentiality.
Good computer and internet skills.

Preferred Background

We especially welcome candidates who have:

Experience in research, business development or operations.
Basic understanding of banking and investment.
Experience with professional email and phone communication.
