Full job description

We are looking for a friendly, organized, and detail-oriented Receptionist / Administrative Assistant to manage front desk operations at our physiotherapy clinic. This role is the first point of contact for patients and plays a critical part in ensuring a smooth, professional, and compassionate patient experience while supporting day-to-day administrative functions.

Key Responsibilities

Greet and assist patients and visitors in a courteous and professional manner
Schedule, confirm, and manage patient appointments efficiently
Handle incoming calls, emails, and inquiries, directing them appropriately
Maintain patient records, registration details, and documentation accurately
Process billing, payments, and insurance-related information (if applicable)
Coordinate with doctors, nurses, and other staff to ensure smooth clinic operations
Manage front desk supplies, inventory, and basic office administration tasks
Ensure the reception area is clean, organized, and welcoming
Handle patient concerns with empathy and escalate issues when necessary
Maintain confidentiality of patient information in line with healthcare regulations

Required Qualifications

High school diploma or equivalent (Bachelor’s degree preferred)
1–3 years of experience in a receptionist, front desk, or administrative role (healthcare setting preferred)
Strong communication and interpersonal skills
Basic computer skills and familiarity with MS Office and scheduling systems
Ability to multitask and work in a fast-paced environment

Preferred Qualifications

Experience with electronic medical records (EMR) or clinic management software
Knowledge of healthcare processes, patient handling, and insurance procedures
Multilingual abilities (English, Hindi, Kannada)
