Clinical Receptionist | Client Experience Executive

Location: Pune

KOSA is an innovative skin, beauty, and wellbeing brand headquartered in Pune, operating an e-commerce platform with multi-brand retail services across India and a signature Skin Studio. We are redefining modern skincare through evidence-based treatments and exceptional client experiences, with plans to expand our physical presence to Mumbai and Delhi.

JOB DESCRIPTION

As a Clinical Receptionist | Client Experience Executive, you will be the face of KOSA, creating a warm, seamless, and premium experience for every client who visits our Skin Studio. This role combines front office operations, appointment management, client communication, and coordination with our clinical and operations teams to ensure every touchpoint reflects the KOSA experience.

Key Roles & ResponsibilitiesClient Experience

Welcome and assist clients visiting the Skin Studio with warmth, professionalism, and attention to detail.
Ensure a smooth client journey from check-in to check-out.
Build strong client relationships while maintaining complete confidentiality.

Appointment & Studio Coordination

Manage appointment scheduling, confirmations, rescheduling, and cancellations.
Coordinate with Dermal Therapists and internal teams to ensure efficient clinic operations.
Maintain daily appointment calendars and optimise studio schedules.

Client Communication

Respond to client enquiries across WhatsApp, phone calls, email, social media, and in person.
Guide clients regarding appointments, treatments, products, and studio services.
Escalate clinical or technical skincare queries to the relevant team when required.

Billing & Administration

Process invoices, payments, and daily billing accurately.
Maintain client records and update the clinic management system.
Ensure all documentation and administrative records are accurate and up to date.

Studio Operations

Maintain reception and waiting areas to KOSA's premium standards.
Support daily operational requirements and collaborate with cross-functional teams to deliver an exceptional client experience.
Identify recurring client concerns and share feedback to improve operational processes.

Profile Experience

Minimum 2 years of experience in a client-facing role.
Prior experience in dermatology clinics, aesthetic clinics, luxury wellness centres, premium healthcare, medical spas, boutique hospitality, luxury retail, or five-star hotels is preferred.

Skills

Excellent communication skills in English, both verbal and written.
Strong interpersonal and relationship-building skills.
Professional grooming and presentation.
Highly organised with strong attention to detail.
Comfortable using appointment scheduling software, CRM systems, Microsoft Office, and digital communication platforms.
Ability to multitask while maintaining a calm and polished client experience.

Education

Graduate in Hospitality, Psychology, English Literature, Liberal Arts, Business Administration, Healthcare Management, Marketing, or a related field.

Preferred Candidate

Experience working with premium clientele, HNIs, or luxury service brands.
Background in clinics, healthcare reception, luxury hospitality, concierge services, wellness, or beauty.
Passion for skincare, wellness, and delivering exceptional client experiences.
