Job Summary
The Factory Admin will be responsible for managing day-to-day administrative activities within the furniture manufacturing facility. The role involves housekeeping management, shopfloor monitoring, employee discipline and safety compliance, inventory and stationery management, basic IT support, MIS reporting, and coordination of various factory-related administrative activities.
Roles & Responsibilities
1. Factory Administration
- Manage day-to-day administrative activities of the factory.
- Coordinate with Production, HR, Stores, Maintenance, and other departments for smooth factory operations.
- Ensure proper upkeep, cleanliness, discipline, and overall administrative standards within the factory premises.
- Support management in implementing factory policies, procedures, and administrative requirements.
- Coordinate with external vendors and service providers for factory-related services.
2. Housekeeping Management
- Manage and monitor housekeeping activities across the factory premises.
- Ensure cleanliness of production areas, offices, washrooms, common areas, and other facilities.
- Monitor housekeeping attendance, work allocation, and daily activities.
- Ensure adequate availability of housekeeping materials and cleaning supplies.
- Coordinate with housekeeping vendors, if applicable.
3. Shopfloor Monitoring
- Conduct regular shopfloor rounds and monitor general working conditions.
- Check whether employees are present and actively engaged in their assigned work during working hours.
- Monitor discipline, cleanliness, and proper workplace practices.
- Identify and report any administrative or operational issues observed on the shopfloor.
- Coordinate with Production and HR teams for resolution of employee-related or workplace issues.
4. Safety & PPE Monitoring
- Conduct regular checks to ensure employees are using required Personal Protective Equipment (PPE).
- Monitor the use of safety shoes, helmets, gloves, masks, ear protection, safety glasses, and other required safety equipment.
- Immediately report safety violations to the concerned department/supervisor.
- Support the Safety/HR team in maintaining a safe and compliant workplace.
- Assist in identifying unsafe conditions and escalating them for corrective action.
5. Inventory & Stock Management
- Maintain stock records for factory administrative requirements.
- Manage and monitor stocks of:
- Stationery items
- Groceries and pantry materials
- Housekeeping materials
- Office supplies
- PPE and other administrative consumables
- Maintain daily/weekly/monthly stock reports.
- Monitor minimum stock levels and raise purchase/requisition requests when required.
- Conduct periodic physical stock verification and reconcile with records.
- Ensure proper storage and controlled issue of materials.
6. Basic IT & Laptop Support
- Provide basic support for employee laptop and computer-related issues.
- Troubleshoot basic hardware, software, printer, network, and peripheral issues.
- Coordinate with the IT team/vendor for technical issues that require specialized support.
- Maintain records of company laptops, desktops, printers, and other IT assets, where applicable.
- Support employees with basic system and office equipment requirements.
7. MIS & Reporting
- Prepare and maintain regular factory administration MIS reports.
- Prepare reports related to housekeeping, stock, stationery, groceries, PPE, and other administrative activities.
- Maintain accurate records and documentation for management review.
- Prepare daily, weekly, and monthly administrative reports as required.
- Maintain Excel-based trackers and ensure timely submission of reports.
8. Vendor & Facility Coordination
- Coordinate with housekeeping, security, pest control, maintenance, and other facility service vendors.
- Follow up on vendor services and ensure timely completion of assigned activities.
- Maintain relevant vendor records, service reports, and supporting documents.
- Escalate service-related issues to the concerned management team.
9. General Factory Support
- Support HR and Factory Management in various administrative activities.
- Assist in organizing employee welfare and factory-related activities.
- Support audits, inspections, and compliance-related documentation.
- Maintain proper filing and documentation of factory administrative records.
- Perform other factory administration duties assigned by the management.
Key Skills & Competencies
- Good knowledge of factory administration and facility management.
- Basic knowledge of safety and PPE requirements.
- Good coordination and communication skills.
- Strong monitoring and follow-up skills.
- Good knowledge of MS Excel, Word, and PowerPoint.
- Ability to prepare MIS reports and maintain trackers.
- Basic troubleshooting knowledge of laptops, printers, and office equipment.
- Inventory and stock management skills.
- Vendor coordination and negotiation skills.
- Good organizational and time-management skills.
- Ability to work in a manufacturing/shopfloor environment.
Pay: Up to ₹30,000.00 per month
