Department: Front Desk / Reception
Reports To: Gym Owner / Operations Manager

Position Summary

The Head of Reception is responsible for managing all front desk operations, ensuring excellent customer service, supervising reception staff, maintaining accurate records, and supporting daily gym operations. This role requires strong leadership, communication, organizational, and administrative skills to create a welcoming experience for members and visitors.

Key Responsibilities

1. Front Desk Management

Oversee the daily operations of the reception area.
Ensure members and visitors receive a professional and friendly welcome.
Handle walk-in enquiries, membership information, and general assistance.
Manage incoming phone calls.

2. Team Leadership

Supervise and guide reception executives.
Prepare duty rosters and manage staff attendance.
Train new reception staff on company procedures and customer service standards.
Monitor team performance and provide regular feedback.

3. Membership Administration

Process new memberships, renewals, upgrades, and cancellations.
Maintain accurate member records in the management system.
Ensure all documentation is complete and properly filed.

4. Cash & Billing Management

Collect membership fees and personal training payments.
Issue receipts and maintain payment records.
Prepare daily cash collection reports.
Coordinate with the accounts department regarding deposits and discrepancies.

5. Data Management & Reporting

Maintain daily enquiry and visitor registers.
Prepare daily, weekly, and monthly reports on:
New enquiries
Membership sales
Renewals
Revenue collection
Pending payments
Maintain Excel spreadsheets and digital records accurately.

6. Customer Service

Resolve member complaints professionally and promptly.
Coordinate with trainers and management to address member concerns.
Ensure high standards of hospitality and member satisfaction.

7. Communication & Coordination

Coordinate with trainers, housekeeping, maintenance, and management.
Inform members about gym events, offers, and policy updates.
Follow up with prospective members and inactive leads.

8. Facility Oversight

Ensure the reception area is clean, organized, and presentable.
Monitor reception supplies such as stationery, forms, and promotional materials.
Report maintenance issues to the appropriate department.

Required Skills

Excellent verbal and written communication.
Strong leadership and team management abilities.
Customer service and conflict resolution skills.
Good organizational and multitasking skills.
Professional appearance and positive attitude.
Ability to work under pressure and manage peak hours.

Technical Skills
(MUST REQUIRED)

Microsoft Excel (data entry, formulas, sorting, filtering, reports)
Basic knowledge of billing software or gym management software (preferred)

Qualifications

Bachelor's degree in any discipline (preferred).
2–5 years of experience in reception, front office, customer service, or administration.
Previous supervisory or team management experience is preferred

Pay: From ₹15,000.00 per month
