Full job description

KP Ridge is looking for a proactive and organized Admin Executive to manage day-to-day administrative operations across the corporate office and construction sites. The candidate will coordinate with employees, contractors, vendors, consultants, and internal departments to ensure smooth and efficient administrative functioning.

Key Responsibilities1. Office Administration

Manage daily office administration and ensure smooth functioning of the office.
Handle stationery, pantry, housekeeping, courier, transportation, and other office requirements.
Maintain office records, documents, files, and registers.
Manage incoming and outgoing correspondence.
Coordinate meetings, appointments, and meeting arrangements.

2. Site Administration

Coordinate day-to-day administrative requirements at construction sites.
Support coordination with site staff, contractors, vendors, architects, MEP consultants, and other agencies.
Maintain site attendance, staff records, registers, and administrative reports.
Ensure timely availability of required administrative materials and services at the site.

3. Vendor & Purchase Coordination

Coordinate the procurement of office supplies, stationery, and site administrative materials.
Obtain quotations from vendors and negotiate/follow up as required.
Maintain purchase orders, invoices, quotations, delivery challans, and related records.
Coordinate with the Accounts team for vendor payments and documentation.
Follow up with vendors regarding deliveries, services, and pending requirements.

4. Employee & Staff Coordination

Support new employee joining formalities and documentation.
Maintain employee KYC, attendance, leave, and other staff records.
Coordinate with HR and employees regarding administrative requirements.
Handle internal communication and staff-related administrative matters.

5. Project Documentation

Maintain project-related documents, files, registers, and correspondence systematically.
Maintain contact details and records of architects, MEP consultants, contractors, vendors, and other consultants.
Maintain records of approvals, agreements, official letters, permissions, and important project correspondence.
Ensure proper filing and easy retrieval of documents whenever required.

6. Management Support

Provide day-to-day administrative support to management.
Coordinate meetings, appointments, travel, transportation, and official requirements.
Communicate management instructions to the concerned departments and site teams.
Handle confidential company, project, and employee information responsibly.

7. General Administration

Manage courier, dispatch, document movement, and official communication.
Coordinate office/site events and administrative requirements.
Maintain petty cash and administrative expense records.
Coordinate with HR, Accounts, Purchase, Project, and Site teams for smooth operations.
Perform any other administrative responsibilities assigned by management.

Requirements

Bachelor's degree in Business Administration, Management, or a related field.
2–5 years of experience in administration, preferably in construction, real estate, infrastructure, or a similar industry.
Good knowledge of MS Office, particularly Excel and Word.
Strong organizational and documentation skills.
Good communication and interpersonal skills.
Ability to coordinate with multiple stakeholders and teams.
Ability to manage multiple tasks and meet deadlines.
Experience in handling vendors, purchase coordination, and site administration will be an advantage.
Should be proactive, responsible, and comfortable working in a fast-paced construction environment.
