JOB SUMMARY
Compliance Specialist supports Diversified’s regulatory, operational, and licensing functions by coordinating the end-to-end workflows for Certificates of Insurance (COIs), contractor licensing, and business licensing across multiple U.S. jurisdictions. This role serves as a primary liaison between internal teams and third-party service providers, ensuring all requests are complete, accurate, and resolved within defined timelines. The Compliance Specialist maintains visibility into all incoming requests, monitors progress, reviews completed outputs for quality and compliance, and ensures internal systems are updated accordingly. Additionally, this role supports the business licensing process and broader compliance activities, including SOP development and Controlled Insurance Program (CIP) documentation. The position requires strong organizational skills, sound judgment in escalating risks, and the ability to manage a high-volume workload independently and efficiently.
MAJOR RESPONSIBILITIES
COI Coordination Responsibilities
- Serve as a primary intake point for all COI requests submitted to the shared Compliance queue.
- Review incoming requests for completeness and accuracy before routing them to the third-party COI provider.
- Coordinate with the external COI provider to ensure timely processing, clarifying requirements, resolving missing information, and escalating issues as needed.
- Track the status of all COI requests, follow up proactively to meet deadlines, and communicate progress to project and sales teams.
- Review COIs returned by the third-party provider for accuracy, compliance with contract requirements, and alignment with project needs.
- Maintain and update records in the Compliance queue with complete, accurate, and timely information.
Contractor Licensing Coordination Responsibilities
- Act as the intake point for contractor licensing requests sent to the shared Compliance mailbox and/or ticketing queue.
- Coordinate with the third-party licensing provider to facilitate the contractor licensing process for sales and project management teams.
- Coordinate the collection of all required documentation and promptly to the provider.
- Monitor licensing progress to align with bidding deadlines, project schedules, and jurisdictional requirements.
- Communicate status updates, delays, and documentation needs to internal stakeholders.
- Review completed contractor licenses to confirm accuracy and applicability before distribution.
- Maintain visibility into licensing activities and ensure accurate tracking of all requests.
Business Licensing Responsibilities
- Act as the intake point for business licensing requests submitted through the shared Compliance mailbox and/or ticketing queue.
- Support the end-to-end business licensing lifecycle for all jurisdictions where Diversified maintains operations or conducts business.
- Monitor licensing requirements, renewal deadlines, and jurisdictional changes, ensuring proactive and timely compliance.
- Coordinate licensing activities across internal stakeholders, including Tax and other departments, to ensure all required documentation is complete and submitted accurately.
- Maintain visibility into the status of all business licenses, ensuring records and supporting documentation are complete, accurate, and audit-ready, while proactively identifying risks, delays, or compliance gaps and escalating as needed
- Support expense tracking and reconciliation related to business licensing activities, as applicable.
General Compliance Responsibilities
- Assist the Senior Compliance Specialist in completing documentation for Controlled Insurance Programs.
- Prepare and submit Certified Payroll Reports.
- Develop, update, and maintain SOPs for all assigned responsibilities.
- Support the Accounting Operations team with additional tasks, special projects, and continuous improvment initiatives.
KNOWLEDGE / SKILL REQUIREMENTS
Required:

- Ability to independently troubleshoot issues, manage competing deadlines, and drive tasks to completion.
- Excellent written communication skills and ability to prepare clear documentation.

- Ability to multitask in a fast-paced environment and transition smoothly between priorities.
- Demonstrated ability to manage workload, exercise sound judgment, and escalate issues appropriately.
Preferred:
- Proficiency with Microsoft Office suite of applications.
- Basic understanding of contract terminology.
- Prior experience in contract administration, compliance, licensing, or insurance coordination.
- Familiarity with US-based Certificates of Insurance, Controlled Insurance Programs, and contractor and business licensing workflows.
EDUCATION / WORK EXPERIENCE
Education/Certification/License Requirements
- Highschool Diploma or equivalent required
- Bachelor's degree - preferred
Working Experience
- Minimum of 3 years of relevant administrative, compliance, operational support, or coordination experience.
- Prior administrative experience required; compliance or licensing experience preferred.
