Full job description

We are looking for a proactive, organized, and professional HR & Admin Executive who can independently manage end-to-end HR operations along with day-to-day office administration and coordination.

The ideal candidate should have strong experience in candidate sourcing and recruitment, payroll coordination, statutory compliance, employee relations, and office administration.

Key Responsibilities:

A. Recruitment & Talent Acquisition

Manage the end-to-end recruitment process for various positions.
Actively source suitable candidates through online and offline job portals, social media, employee referrals, consultancies, references, databases, and other recruitment channels.
Must have hands-on experience in using job portals and different sourcing methods to find suitable candidates.
Screen resumes, shortlist candidates, and conduct initial interviews.
Coordinate interviews with hiring managers and management.
Regularly follow up with candidates and hiring teams to ensure timely closure of positions.
Prepare offer letters and manage joining and onboarding documentation.
Maintain candidate databases and recruitment records.

B. HR Operations & Administration

Maintain employee records, HR documentation, and employee files.
Handle joining, confirmation, probation, transfer, promotion, resignation, and exit formalities.
Manage employee attendance and leave records.
Issue HR letters, certificates, notices, warning letters, and other official HR documents.
Maintain and update HR policies and procedures as required.
Coordinate employee engagement and team-building activities.

C. Payroll Management

Prepare and verify monthly payroll inputs.
Check attendance, leave, incentives, overtime, advances, and deductions.
Coordinate with the Accounts/Finance Department for timely salary processing.
Maintain payroll records and reports.
Handle employee queries related to salary, attendance, and leave.

D. Compliance & Statutory Requirements

Ensure compliance with applicable labour laws and company policies.
Coordinate and maintain records related to PF, ESI, PT, LWF, and other applicable statutory requirements.
Maintain all compliance-related documentation and records.
Coordinate with consultants and external agencies whenever required.
Support statutory compliance, audits, inspections, and related documentation.

E. Employee Relations & Grievance Handling

Address employee concerns, queries, and grievances professionally.
Support disciplinary and conflict-resolution processes.
Promote employee engagement, retention, and a positive work culture.
Act as a coordination point between employees and management.

Administration & Office Coordination

Manage day-to-day office administration and ensure smooth office operations.
Coordinate between management, employees, and different departments.
Manage and schedule meetings, appointments, management calendars, and official schedules.
Coordinate meetings and follow up on pending tasks and action points.
Maintain administrative records, trackers, and important documents.
Coordinate office requirements, stationery, vendors, and other administrative activities.
Assist management with day-to-day coordination and administrative requirements.
Handle other HR, administration, coordination, and office-related responsibilities assigned by management.

Required Qualifications & Skills

Bachelor's degree in Human Resources, Business Administration, Management, or a related field.
2–5 years of experience in HR Generalist, HR & Administration, or a similar role.
Strong hands-on experience in candidate sourcing through online and offline job portals and other recruitment channels.
