Role Overview
We are looking for a high-energy, street-smart generalist to join our team in a Founders’ Office capacity. In this role, you will work directly alongside executive leadership as a force multiplier, taking ownership of cross-functional operations across HR, Compliance/Admin, and Marketing.
This is not a traditional corporate desk job. It is a fast-paced execution role designed for someone who wants a 360-degree view of how a business operates. If you are a proactive problem solver who can figure things out on the fly, coordinate with external stakeholders, and get things done without hand-holding, this role is for you.
Key Responsibilities1. HR & People Operations
- Talent Acquisition: Draft and post job descriptions across portals (Indeed, LinkedIn), filter candidate profiles, and schedule interviews.
- Candidate Management: Send mass communications, handle interview logistics, coordinate schedule changes, and run preliminary screening calls.
- Onboarding & Admin: Prepare offer letters, employment contracts, non-disclosure agreements (NDAs), and assist with new-hire orientation.
- Culture & Engagement: Organize team outings, dinners, and internal engagement activities.
2. Compliance, Legal & Administrative Support
- Compliance Tracking: Assist in monitoring regulatory timelines, compliance filings, and document renewals with internal/external point persons.
- Legal Administration: Maintain template databases for NDAs, MoUs, vendor agreements, and candidate confidentiality contracts.
- Office & Operations: Coordinate with vendors, manage facility requests, and ensure day-to-day office operations run smoothly.
3. Marketing & Brand Operations
- Social Media Management: Maintain company presence across platforms (LinkedIn, Instagram, Website), scheduling posts and reviewing engagement.
- Content & Trade Shows: Assist in preparing collateral, marketing materials, and logistics for upcoming trade shows, industry events, and client presentations.
- Collateral Coordination: Work with external designers, agencies, or internal teams to ensure marketing deliverables stay on track.
4. Special Projects & Executive Support
- Data Collation: Gather raw data, metrics, and updates from department heads to assist in crafting internal and external presentation decks.
- Task Follow-ups: Track cross-departmental action items to ensure deadlines are met across teams.
Required Qualifications & Mindset
- Education: BBA or MBA from a recognized institution.
- Street Smart & Resourceful: Ability to tackle unstructured problems, push vendors for deadlines, and find creative solutions when things don't go according to plan.
- Communication Skills: Clear, professional written and verbal communication (capable of corresponding with clients, candidates, and external vendors alike).
- Tool Proficiency: Familiarity with Google Workspace / MS Office (Excel, PowerPoint), basic social media platforms, and project management tools (e.g., ClickUp, Notion, or Asana) is a plus.
- High Ownership: A "no task is too small" attitude with extreme attention to detail and high discretion handling confidential information.
