Job Description – HR Excellence Executive

Department: Human Resources

Reports To: HR Manager

Location: Manufacturing Plant (13 Production Lines)

Position Purpose

The HR Excellence Executive is responsible for designing, implementing, monitoring, and continuously improving HR systems and people development processes across the manufacturing plant. The role ensures employees have defined competencies, receive required training, complete performance evaluations on time, and comply with company standards, DMS, and audit requirements. Payroll, recruitment, statutory compliance, attendance, and employee relations are managed by other HR team members.

Key Responsibilities

1. Performance Management System (PMS)

Own the annual PMS cycle and appraisal calendar.
Coordinate goal setting, KRAs, KPIs, mid-year and annual reviews.
Track completion across departments and follow up on delays.
Maintain appraisal records and dashboards.
Support performance normalization, promotions, and confirmations.

2. Skill Matrix & Competency Management

Develop and maintain skill matrices for all departments and 13 production lines.
Define competency levels and identify skill gaps.
Track multi-skilling, cross-training, and competency assessments.
Maintain certification and competency records.

3. Training & Development

Conduct Training Need Identification (TNI).
Prepare and execute the annual training calendar.
Coordinate induction, GMP, food safety, SOP, technical, behavioral, and leadership training.
Maintain attendance, effectiveness evaluation, and training records.

4. Supervisor Certification

Develop certification modules for supervisors.
Coordinate written, practical, and interview assessments.
Maintain certification validity and renewal schedules.

5. DMS Compliance & Audit

Conduct weekly and monthly DMS audits.
Audit skill matrices, training boards, SOP compliance, visual management, and action trackers.
Prepare audit reports, CAPA, and closure tracking.

6. HR Governance & Compliance

Maintain HR SOPs, policies, documentation, and audit readiness.
Support ISO, food safety, customer, and corporate HR audits.
Ensure document revision control.

7. Governance Packs & Dashboards

Prepare monthly governance packs covering headcount, training, PMS, skill matrix, compliance, and HR KPIs.
Present reports to the HR Manager and Plant Leadership.

8. Continuous Improvement

Standardize HR processes.
Support HR digitization and automation.
Implement process improvement initiatives.
