Full job description

A vendor follow-up role (often styled as a Vendor Follow-up Executive or Expeditor) bridges the gap between external parts suppliers and internal production needs. They track open purchase orders, monitor progress, and expedite delayed raw materials to prevent factory assembly lines from stopping. [1, 2, 3, 4]Daily Tracking and Expediting

Track open Purchase Orders (POs) from the moment of release until final delivery.
Follow up on formal order acknowledgments and estimated shipping dates.
Expedite delayed components or raw materials to match factory production schedules.
Call or email suppliers daily or weekly to check production milestones.

Cross-Functional Coordination

Sync with internal production, planning, and design teams to understand shifting material priorities.
Inform factory supervisors early if a critical part faces a transit or manufacturing delay.
Coordinate with the warehouse/stores and quality control teams for incoming material inspection.
Resolve immediate documentation or specification mismatches between the vendor and the plant.

Supplier Performance and Field Visits

Visit vendor manufacturing plants or machine shops when critical parts face heavy delays.
Monitor outside-processed or subcontracted jobs to guarantee adherence to project deadlines.
Log vendor delivery metrics like On-Time Delivery (OTD) rates.
Report chronic supplier bottlenecks upward to the procurement or supply chain manager.
