Role Summary
We are looking for a proactive and detail-oriented professional to support the day-to-day administration of our corporate office, warehouses, and retail locations. The role involves managing facilities, travel, vendors, reimbursements, workplace hygiene, and company assets while ensuring smooth business operations and an exceptional workplace experience.
Key Responsibilities
Office, Warehouse & Retail Administration
- Manage day-to-day administrative operations across the corporate office, warehouses, and retail stores.
- Ensure timely availability of office supplies, stationery, pantry items, first-aid kits, and other essential consumables.
- Coordinate repair and maintenance activities, including electrical, plumbing, civil work, furniture, and workplace equipment.
- Support office expansions, warehouse setup, retail store openings, relocations, and closures.
Travel & Logistics Management
- Coordinate employee travel bookings, modifications, and cancellations through approved travel partners.
- Maintain travel records, monitor travel expenses, and prepare periodic MIS reports.
- Coordinate with travel vendors for invoicing and payment processing.
Vendor Management
- Manage housekeeping, security, transport, courier, maintenance, and other service providers.
- Ensure timely service delivery and adherence to agreed service levels.
- Obtain quotations, negotiate commercials, and support cost optimization initiatives.
- Maintain vendor documentation, contracts, invoices, and payment follow-ups.
Reimbursements & Expense Coordination
- Process employee reimbursement claims in accordance with company policies.
- Verify supporting documents and coordinate with HR and Finance for timely settlement.
- Maintain reimbursement records and generate periodic reports.
Facility Management
- Ensure high standards of workplace cleanliness, hygiene, safety, and maintenance across all business locations.
- Conduct regular facility inspections and ensure timely resolution of maintenance issues.
- Supervise housekeeping operations to maintain a safe and organized work environment.
Asset & Inventory Management
- Maintain accurate records of office assets, equipment, furniture, and inventory.
- Track asset allocation, movement, maintenance, and physical verification across locations.
- Support internal audits and ensure proper asset documentation.
Key Skills & Competencies
- Strong administration and facility management skills.
- Experience in vendor coordination and stakeholder management.
- Good understanding of travel coordination and expense management.
- Strong planning, organizational, and problem-solving abilities.
- Proficiency in MS Excel, Google Workspace, and MIS reporting.
- Ability to manage multiple priorities in a fast-paced environment.
- High attention to detail and a strong sense of ownership.
Qualifications
- Graduate in any discipline.
- Experience in administration, office operations, facility management, or workplace services.
- Experience supporting multiple locations, warehouses, or retail operations will be preferred.
- Prior experience in a D2C, retail, FMCG, manufacturing, or consumer-focused organization will be an advantage.
Pay: ₹25,000.00 - ₹50,000.00 per month
