Full job description

Key Responsibilities: Executive Support

Manage the MD’s calendar, appointments, meetings, and travel arrangements.
Prepare meeting agendas, minutes, reports, and presentations.
Screen phone calls, emails, and correspondence on behalf of the MD.
Maintain confidential documents and sensitive information.
Follow up on pending tasks, approvals, and project updates.

Coordination & Communication

Coordinate with internal departments, including design, production, HR, accounts, and project teams.
Communicate with clients, vendors, contractors, and suppliers professionally.
Assist in arranging client meetings, factory visits, and project reviews.
Ensure timely flow of information between the MD and various departments.

Administrative Responsibilities

Maintain files, records, and MIS reports.
Draft letters, emails, quotations, and official documents.
Monitor office supplies and support administrative activities.
Handle expense reports and basic documentation work.

Operational Support

Track ongoing interior projects and manufacturing schedules.
Assist the MD in monitoring project timelines and production coordination.
Support procurement follow-ups and vendor coordination when required.
Help organize company events, exhibitions, or business meetings.

Required Skills & Qualifications

Bachelor’s degree in business administration, commerce, or a related field.
Proven experience as a personal assistant, executive assistant, or administrative coordinator.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
Ability to maintain confidentiality and professionalism.
Knowledge of interior design, manufacturing, or project-based industries is an added advantage.

Preferred Qualities

Smart and presentable personality.
Strong follow-up and coordination skills.
Ability to work under pressure and meet deadlines.
Problem-solving attitude and attention to detail.
Flexible and adaptable to dynamic work environments.
Valid 2- and 4-wheeler license required

Experience Required

2–5 years of relevant experience preferred.
