Job Title: Executive Assistant cum HR Manager

Reporting To: Mr. Vijay Dumbre (Director)

Company: Indus Power Industries Pvt. Ltd.

Location: Dombivli

Experience Required: 3 to 7 Years

Qualification: Graduate / MBA in HR / Administration preferred

About the Role:

We are looking for a highly organized, tech-savvy, and proactive Executive Assistant cum HR Manager to support the Director in day-to-day business operations and human resource management. This role is critical in ensuring smooth communication, efficient reporting, employee engagement, and administrative coordination across all departments.

The ideal candidate should be strong in computer operations, HR functions, team coordination, and modern AI tools to improve productivity.

Key Responsibilities:

Executive Assistance:

- Manage and monitor daily emails and prepare important summaries/reports for the Director.

- Draft professional email communications, letters, and internal documents.

- Coordinate meetings, prepare agendas, and maintain Minutes of Meetings (MOM).

- Collect daily, weekly, and monthly reports from all departments and present consolidated reports to management.

- Follow up with departments for pending tasks and updates.

- Maintain Director’s schedule, appointments, and task tracking.

Human Resource Management:

- Handle end-to-end recruitment process through job portals.

- Screen resumes and shortlist candidates as per job requirements.

- Conduct primary telephonic interviews and coordinate final interviews.

- Maintain employee attendance, leave records, and HR documentation.

- Support employee onboarding and induction process.

- Maintain employee database and performance records.

Team Engagement & Employee Relations:

- Coordinate birthday celebrations and employee engagement activities.

- Motivate teams and maintain positive work culture.

- Ensure smooth communication between management and staff.

- Help in team coordination and conflict resolution.

Reporting & Coordination:

- Take daily work reports from all departments.

- Prepare MIS reports for productivity tracking.

- Organize regular departmental review meetings.

- Track work progress and maintain accountability.

Digital & Social Media:

- Handle company social media accounts and digital presence.

- Create basic multimedia content, posts, and updates.

- Use AI tools for content drafting, reporting, and productivity improvement.

Required Skills:

- Strong knowledge of Computer Operations and Google Workspace (Docs, Sheets, Drive, Forms, Calendar).

- Good understanding of AI tools (such as ChatGPT, automation tools, etc.).

- Proficiency in job portals and recruitment handling.

- Good email drafting and business communication skills.

- Knowledge of social media management.

- Strong organizational and multitasking ability.

- Excellent communication and interpersonal skills.

- Team handling and leadership capability.

- Ability to maintain confidentiality and professionalism.

- Basic multimedia knowledge (presentations, visuals, documents).

Preferred Candidate Profile:

- Smart, disciplined, and proactive.

- Good at follow-ups and execution.

- Strong decision-making and problem-solving skills.

- Can independently handle Director support and HR operations.

- Comfortable working in a fast-paced manufacturing environment
