Founder’s Personal Assistant / Executive Assistant

Company: Luma Fertility
Location: Mumbai — Bandra & Andheri
Working Days: 6 days a week

Luma Fertility is a next-generation fertility company focused on building a more patient-centric, technology-enabled experience in fertility care.

Founded by Neha Motwani, a second-time entrepreneur and the founder of Fitternity, Luma is building a differentiated fertility-care brand in India with a strong focus on people, technology, and operational excellence.

About the Role

We are looking for a Personal Assistant / Executive Assistant to the Founder who can work closely with Neha and support her across day-to-day priorities, scheduling, communication, coordination, and execution.

This is a high-ownership role for someone who is organised, proactive, discreet, and comfortable working in a fast-paced entrepreneurial environment. The role will involve a combination of personal assistance and executive support, with a strong focus on ensuring that the Founder’s day runs smoothly.

You will work closely with the Founder and coordinate with internal teams, external stakeholders, and vendors as required.

Key Responsibilities

Founder & Executive Support

Manage and maintain the Founder’s calendar, meetings, appointments, and daily schedule.
Coordinate meetings and ensure the Founder is well-prepared for upcoming discussions.
Handle follow-ups, reminders, and action items arising from meetings.
Coordinate with internal teams and external stakeholders on behalf of the Founder.
Assist with travel planning, itineraries, bookings, and logistics.
Prepare and organise documents, presentations, notes, and other information required by the Founder.
Maintain confidentiality while handling sensitive business and personal information.
Help prioritise and streamline the Founder’s day-to-day commitments.

Personal Assistance

Support the Founder with select personal appointments, commitments, and day-to-day requirements.
Coordinate personal and professional schedules where they overlap.
Manage bookings, reservations, errands, and other logistical requirements when needed.
Ensure important personal and professional commitments are tracked and followed through.

Coordination & Execution

Act as a reliable point of coordination between the Founder and different teams.
Track pending tasks and ensure timely follow-ups.
Support the Founder with events, meetings, off-sites, and other engagements.
Handle last-minute changes and shifting priorities with composure and efficiency.
Take ownership of tasks from initiation through completion.

What We’re Looking For

2+ years of experience as a Personal Assistant, Executive Assistant, Founder’s Office Associate, or a similar role.
Prior experience supporting a Founder, CEO, CXO, or senior leadership professional is preferred.
Excellent organisational and time-management skills.
Strong communication skills — both written and verbal.
Highly dependable and comfortable handling confidential information.
Ability to anticipate requirements rather than simply wait for instructions.
Strong follow-up and coordination skills.
Comfortable managing multiple priorities in a fast-moving environment.
Good working knowledge of Google Workspace / MS Office and calendar-management tools.
Someone who is flexible, mature, resourceful, and comfortable with changing schedules.
Ability to maintain professionalism and discretion at all times.

Work Location & Schedule

This is a Mumbai-based, 6-day working role.

The Founder’s schedule will determine the primary work location:

Approximately 3 days at our Bandra clinic
Approximately 3 days at our Andheri office
The exact split may vary depending on the Founder’s schedule and business requirements.

Candidates should be comfortable travelling between Bandra and Andheri as required.

The role may occasionally require flexibility around the Founder’s schedule, particularly for meetings, events, travel, or time-sensitive commitments.
