Senior Executive Assistant to CEO / Director

Experience: 5+ Years
Location: Noida
Employment Type: Full-Time

About the Role

We are looking for a highly experienced, proactive, and organised Senior Executive Assistant to the CEO/Director with 5+ years of experience in Executive Assistance, Senior Administration, Operations Coordination, and Management Support.

The ideal candidate should have experience working directly with a CEO, Director, or Senior Management and should be capable of independently managing executive responsibilities, coordinating day-to-day business activities, handling administrative functions, and ensuring timely follow-up and execution of management decisions.

This is a hands-on, ownership-driven role requiring excellent communication, coordination, follow-up, confidentiality, organisation, and problem-solving skills.

Key Responsibilities1. Executive & CEO/Director Support

Provide high-level executive and administrative support to the CEO/Director.
Manage the CEO/Director's calendar, meetings, appointments, schedules, travel, and day-to-day requirements.
Schedule and coordinate internal and external meetings.
Prepare meeting agendas, MOMs, action points, and follow-up trackers.
Track important decisions, deadlines, commitments, and pending actions.
Coordinate with internal teams and external stakeholders on behalf of the CEO/Director.
Handle confidential and sensitive information with complete discretion.
Ensure timely execution and follow-up of tasks assigned by the CEO/Director.
Anticipate the CEO/Director's requirements and proactively manage priorities.

2. Management Coordination & Follow-ups

Act as the primary coordination point between the CEO/Director and internal teams.
Communicate important instructions and decisions and ensure proper follow-through.
Maintain delegation and task trackers.
Regularly follow up with team members on pending deliverables.
Monitor deadlines and ensure timely completion of assigned tasks.
Escalate critical delays, issues, or concerns to the CEO/Director proactively.
Prepare regular status updates and management reports whenever required.
Coordinate cross-functional activities on behalf of senior management.

3. Operations Coordination

Support the CEO/Director in managing day-to-day business operations.
Coordinate with multiple departments to ensure smooth execution of operational activities.
Monitor operational tasks, timelines, and deliverables.
Identify delays or coordination gaps and proactively follow up for resolution.
Maintain operational trackers, reports, and dashboards.
Ensure effective communication between management and teams.
Follow up with department heads and team members on important business activities.
Support management in resolving day-to-day operational issues.

4. Administration

Independently manage and coordinate administrative functions for the CEO/Director.
Handle office administration, documentation, records, and internal coordination.
Coordinate with vendors, service providers, and external partners.
Maintain administrative trackers, reports, and important documentation.
Coordinate meetings, office requirements, events, and other management-related activities.
Take ownership of administrative issues and ensure timely closure.
Ensure that important documents and information are properly organised and accessible.

5. Meeting & Documentation Management

Schedule and coordinate management meetings.
Prepare meeting agendas and required documents.
Record and circulate Minutes of Meetings (MOMs).
Maintain action-point and follow-up trackers.
Monitor completion of action items after meetings.
Prepare presentations, reports, summaries, and management updates when required.
Maintain organised records of important meetings, decisions, and documents.

Required Skills & Competencies

5+ years of relevant experience as an Executive Assistant, Senior Executive Assistant, Personal Assistant, or similar senior-level role.
Proven experience working directly with a CEO, Director, Founder, or Senior Management.
Strong understanding of executive support and business coordination.
Excellent calendar, meeting, scheduling, and follow-up management skills.
Strong written and verbal communication skills.
Excellent organisational and time-management skills.
Ability to manage multiple priorities simultaneously.
Strong coordination and problem-solving skills.
High level of professionalism, discretion, and confidentiality.
Proactive approach with the ability to anticipate requirements.
Strong ownership and ability to work independently with minimal supervision.
Good command of MS Office, Google Workspace, Excel/Google Sheets, presentations, email, and business communication tools.
Ability to prepare professional reports, trackers, MOMs, presentations, and management updates.

Ideal Candidate

The ideal candidate should have already worked at a senior level with a CEO, Director, Founder, or Senior Management and should understand how to provide support beyond routine administrative tasks.

We are specifically looking for someone with strong practical experience in:

Executive Assistance + CEO/Director Support + Senior Administration + Operations Coordination + Management Coordination + Follow-ups

The candidate should be mature, highly organised, proactive, reliable, discreet, and capable of independently handling responsibilities with minimal supervision.

Key Requirement

This role is best suited for someone who can think ahead, take ownership, coordinate across functions, solve day-to-day operational issues, manage follow-ups, maintain confidentiality, and provide strong overall support to the CEO/Director.
