Full job description

The Admin Manager shall be responsible for overseeing and managing the day-to-day administrative operations within the organization. This role ensures smooth functioning of office procedures, facilities, and support functions, as well as efficient coordination between departments. The Admin Manager plays a pivotal role in managing office resources, office supplies, vendor relationships, and handling facility management, while also leading and mentoring the administrative team.

Key Responsibilities:

Office Management:

Oversee the general office operations, ensuring a well-maintained and productive office environment.

Supervise and manage the administrative team, ensuring tasks are delegated appropriately and completed in a timely manner.

Develop and implement office policies and procedures to ensure smooth operations.

Manage office supplies and equipment, ensuring timely procurement and efficient usage.

Handle the scheduling and coordination of meetings, conferences, and company events.

Handle the schedule of travel vel bookings and an hotel bookings for employees and negotiate good competitive corporate rates.

Facility & Vendor Management:

Supervise facility management, including ensuring that the office premises are clean, safe, and well-maintained.

Liaise with vendors and service rvice providers pr for the maintenance of office equipment, itenance security, cleaning services, and other office-related requirements.
Negotiate contracts with suppliers and service providers to ensure competitive pricing and service quality.

Budgeting & Cost Control:

Prepare and manage the administration budget, ensuring adherence to allocated funds for office supplies, equipment, and other administrative costs.

control operational expenses and identify opportunities for cost-saving initiatives.

Ensure compliance with company policies and procedures in handling administrative expenses.

Staff & Resource Management:

Supervise administrative support staff, including front office personnel, office assistants, and others, providing training, guidance, and performance reviews.

Health, Safety & Compliance:

Ensure that the office complies with all health and safety regulations.

Implement and monitor safety protocols for employees and visitors.

Ensure that all necessary records and documentation (e.g., compliance, insurance) are maintained accurately and up-to-date.

Communication & Coordination:

Act as a liaison between senior management and staff for any administrative concerns or requirements.

Foster good working relationships across various departments to ensure effective communication and collaboration.

Prepare reports on administrative activities, budgets, and operations for senior management.

Project Management:

Lead and coordinate special administrative projects, such as office relocations, upgrades, or system implementation.

Assist in the planning and execution of corporate events, seminars, and team- building activities

Education: A bachelor's degree in Business Administration, Management, or a related field is preferred.

Experience: A minimum of 6 to 8 years of experience in office management, administration, or facilities management, with at least 3 years in a managerial

role.
