Job role

1 Position Overview:

We are seeking a Travel Coordinator to join as an Officer who will play a crucial role in ensuring the smooth operation and travel arrangement of our office and provide administrative support to various departments. This role requires excellent organizational and communication skills, as well as the ability to handle multiple tasks efficiently .

2 Key Responsibilities.

1. Travel Arrangements: Coordinate travel arrangements for employees, including booking flights, accommodations, and transportation. Prepare itineraries and ensure all necessary arrangements are in place. Enroll and manage taxi operators across states and travel agents. Negotiate and document per km rate, minimum per day commitments and other terms & conditions

2. Office Management: Coordinate with vendors and service providers to provide cost effective travel services as per travel policy.

3. Meeting and Event Coordination: Assist in organizing meetings, conferences. Coordinate logistics, book venues, arrange catering, and manage invitations .

4. Administrative Support: Provide travel related administrative assistance to different teams and departments as needed. This may include scheduling meetings, preparing documents and presentations, and managing correspondence.

5. Correspondence and Communication: Draft and prepare emails, letters, memos, and other communications as per travel requirements. Ensure accuracy, clarity, and professionalism in all written correspondence.

6. Expense Management: Process expense reports, track reimbursements, and maintain records of expenses. Follow up on outstanding approvals and ensure compliance with company policies.

7. Calendar Management: Manage calendars for executives and other team members, scheduling appointments and coordinating meetings. Remind participants of upcoming meetings and prepare meeting materials.

8. Front Desk -Greet visitors, answer and direct incoming calls, and handle inquiries in a professional and friendly manner. Maintain a neat and welcoming reception area

9. Team Support: Assist in organizing team events, celebrations, and activities to promote a positive work culture. Provide support to team members as needed.

3 Qualifications and Requirements:

Graduate with 2year of experience in using office productivity tools such as Microsoft Office (Word, Excel, and PowerPoint). Strong verbal and written communication skills. Proficiency in English is required. Professional and friendly demeanor with excellent interpersonal skills.

4Salary Range: Upto 3.5LPA.
