Job Description – Assistant Café Manager

Designation: Assistant Café Manager

Department: Café Operations / Food & Beverage

Industry: Tea / Café & Hospitality

Job Purpose

The Assistant Café Manager will support the Café Manager in the smooth and efficient day-to-day operation of the tea company café. The role involves supervising staff, maintaining service standards, ensuring customer satisfaction, monitoring inventory and cash handling, and supporting sales and operational targets.

Key Responsibilities

1. Café Operations

Assist in managing daily café operations, opening and closing procedures.

Ensure smooth coordination between service, kitchen, beverage and cashier teams.

Monitor cleanliness, hygiene, ambience and overall café standards.

Ensure all SOPs and company policies are followed.

Handle operational issues and escalate major concerns to the Café Manager.

2. Team Supervision

Supervise and coordinate café staff during assigned shifts.

Allocate duties and prepare/assist with shift-wise staff deployment.

Monitor attendance, punctuality, grooming and discipline.

Conduct on-the-job guidance and support for new employees.

Motivate the team to maintain high service standards.

3. Customer Service

Ensure professional, prompt and courteous customer service.

Handle customer complaints and resolve issues appropriately.

Collect customer feedback and communicate recurring concerns to management.

Ensure guests receive a premium tea café experience.

4. Tea & Beverage Operations

Ensure proper preparation and presentation of tea, beverages and café products.

Maintain consistency in product quality and presentation.

Ensure staff have adequate knowledge of different tea varieties, menu items and preparation methods.

Promote specialty teas and other high-margin products through the team.

5. Inventory & Cost Control

Assist in monitoring daily stock levels of tea, beverages, food, packaging and other consumables.

Coordinate with the Store/Purchase team for timely replenishment.

Minimize wastage, pilferage and unnecessary consumption.

Assist with stock counting and inventory reconciliation.

Ensure proper storage and handling of tea and food products.

6. Cash & Billing

Supervise billing and POS operations.

Ensure accurate cash handling and shift-wise cash reconciliation.

Monitor discounts, complimentary items, voids and refunds as per company policy.

Report any cash or billing discrepancies immediately.

7. Hygiene & Food Safety

Ensure compliance with food safety, hygiene and sanitation standards.

Monitor personal grooming and hygiene of all café employees.

Ensure kitchen, service areas, equipment and storage areas remain clean.

Report maintenance or safety issues promptly.

8. Sales & Business Support

Support the Café Manager in achieving daily, weekly and monthly sales targets.

Monitor sales performance and identify opportunities to increase revenue.

Encourage upselling and cross-selling of tea, food and café products.

Support promotional activities, events and special campaigns.

9. Reporting & Administration

Maintain daily operational records and shift reports.

Prepare/assist with sales, wastage, stock and incident reports.

Maintain proper documentation related to café operations.

Coordinate with HR, Finance, Purchase, Store and other departments as required.

Key Performance Indicators (KPIs)

· Daily/monthly sales achievement

· Customer satisfaction and complaint resolution

· Service quality and operational efficiency

· Food and beverage quality consistency

· Inventory accuracy and wastage control

· Staff attendance, discipline and productivity

· Hygiene and food safety compliance

· Successful implementation of company SOPs

Qualification & Experience

· Graduate/Diploma in Hospitality, Hotel Management, Food & Beverage Management, Business Administration or a related field preferred.

· 2–4 years of experience in café, restaurant, QSR, hospitality or F&B operations.

· Experience in a premium café, tea café or specialty beverage outlet will be an advantage.

Required Skills

· Basic understanding of inventory and cost control
