Full job description

1. Job purpose:

The Manager - Procurement is responsible for overseeing and executing procurement processes, including vendor management, negotiation & purchases ensuring quality in timely and and cost effective manner.

2. Competency:

Evaluation of market for identifying new vendors for material or service purchase.
Negotiation, Reverse Auction, Ariba System to ensure cost cutting without compromising quality
SAP MM Module (R3 and above), ZOHO or any such ERP System
Well verse with facing audits and maintaining documentation pertaining to ISO/IEC 17025:2017, ISO/IEC 17043:2023, ISO 9001:2015, ISO 45001:2018 etc.

3. ROLE AND RESPONSIBILITIES:

Vendor Management
Identify New Vendors on regular basis through organizing Vendor Development Programs or online and build database.
Reference check (Back ground Check) of vendors prior to on-boarding of vendors
Review technical & financial credentials of vendors jointly with concern departments i.e. User Department & finance.
Negotiate with vendors by obtaining quotations (minimum 5) to ensure competitive pricing, favourable payment terms, delivery schedules etc.
Create, maintain & update vendor details for streamlined vendor management.
Evaluate existing vendors on quarterly basis & appraise vendors regarding their performance.
Update Approved vendor list on annual basis.
Procurement Decision-Making
Assist in decision-making for material/ service purchases by ensuring quality in cost effective manner.
Purchase Orders (PO)
Obtain annual quantity to finalise annual rate contracts along with technical specification from stores and user department for placing POs to avoid overstock or stockouts.
Create, and process POs. in line with the terms mutually agreed with the vendor.
Review status of the PO with the stores regarding receipt of the quantity on quarterly basis. Close all open POs at the end of the financial year.
Finalise minimum ordering qty& delivery schedule to avoid over stocking & under stocking
Cost Control, Payment and Financial Management
Prepare Annual Budget & Review on weekly, monthly, quarterly, 6 months and annual basis.
Ensure procurement within approved financial limits.
Request Proforma invoices and process advance payments to vendors jointly with ensure maximum credit arrangement finance department.
Collaborate with user departments to forecast procurements needs and avoid urgent or unplanned purchases.
Ensure timely clearance of payments as per PO/Service Order (SO) terms.
Review Market on periodic basis to evaluate possibilities on cost reduction & controlling. Implement cost-saving strategies and initiatives while ensuring quality, timely and compliant deliveries.
Compliance and Quality Assurance
Maintain accurate and up-to-date documentation of the procurement system i.e. Request for Quotation, Request for Purchase, purchase orders, contracts, Vendor Evaluation Sheets both in hard and soft copies.
Ensure all procurement activities comply with company policies and relevant regulations such as ISO/IEC 17025:2017, ISO 9001:2015, ISO 45001:2018 etc to minimise legal and financial risk.
Compliance to Impartiality, Confidentiality & Anti bribery policies at all times by verifying that the procured material or service meets specified technical and quality standards before acceptance.
Ensure contractual obligations from both vendor and company’s sides.
Face Compliance audits pertaining to procurement department for ISO 9001:2015, ISO 45001:2018, ISO/IEC 17025:2017, ISO/IEC 17043:2023
Team Building & Collaboration
Prepare JD/KRA, KPI & budget for procurement department jointly with HR and Finance Department.
Conduct Technical round of interviews for procurement team jointly with HR Department, support HR department in onboarding the employee, induction on procurement department & its processes etc.
Review performances of the procurement team on quarterly basis and support the team to perform in line with the Company’s requirements.
Skill upgradation of subordinates by identifying essential training needs and imparting training
Propose increments on annual basis both commercially & designation wise. subject to profitability of the company and outstanding performance.

Pay: ₹80,000.00 - ₹100,000.00 per year
