Designation: Front Desk Executive

Reporting To: Sr. Admin Executive / Executive Assistant

Functionally Coordinates with: HODs

We are seeking a proactive and organized Front Desk Executive to serve as the face of our company. This role involves managing front desk operations, coordinating administrative and IT-related support, and assisting the Managing Director and departmental heads in day-to-day tasks. The ideal candidate should be well-presented, tech-savvy, and capable of multitasking in a fast-paced environment.

Key Responsibilities:

Support HODs with meeting scheduling, coordination, and basic documentation.
Coordinate with respective vendors/services pertaining to office administration.
Maintain cleanliness and hygiene within the office Premises.
Monitor electricity usage and encourage power/energy saving.
Monitor Air Conditioning system usage and ensure optimization.
Coordinate with internal teams and vendors for IT devices and gadget management.
Ensure smooth operation and upkeep of front desk equipment.
Address IT-related complaints.
Welcome and assist guests and visitors professionally as and when required.
Manage internal meetings and maintain meeting room readiness.
Handle incoming calls and maintain visitor records.
Oversee pantry operations with a focus on cost optimization.
Maintain stock and coordinate with vendors for office supplies.
Organize routine office lunch.
Regular audit on office assets.

Office & Facility Management

Supervise daily office housekeeping and cleanliness.
Ensure uninterrupted electricity, water, internet, and other utilities.
Maintain and monitor office assets (furniture, printers, laptops, ACs, etc.).
Oversee pest control, hygiene, and pantry management.
Coordinate with maintenance vendors for service or repair requirements.

Front Desk & Reception (Under Administration)

Welcome visitors and maintain visitor entry register.
Handle incoming calls, emails, and transfer to concerned departments.
Manage inward and outward courier records and dispatches.
Arrange meeting rooms and refreshments for visitors or clients.
Support administration in communication and coordination activities.

Staff & HR Administrative Support

Maintain attendance and leave records in coordination with HR.
Assist in joining formalities (ID cards, seating, system setup, stationery).
Arrange travel bookings, transport, and accommodation for staff or clients.
Organize office meetings, celebrations, and staff events.
Assist HR team in festival celebration arrangements
Handle/operate TV & meeting rooms display
Regular maintenance of ACs
Inventory management (stationary / IT devices [keyboard/mouse])
Documentation & Record Keeping

Maintain admin-related files (bills, service reports, AMC, etc.).
Manage filing of agreements, letters, and compliance documents.
Health, Safety & Office Welfare

Ensure workplace safety and cleanliness standards.
Maintain first aid kits and emergency contact lists.
Oversee pantry, drinking water, and staff welfare facilities.
Sales

Call to customer for outstanding payment follow-up.
Call to customer for survey of our service & feedback.
Back-office support function
CRM – Data Entry of enquiries.

Soft Skills:

Presentable and professionally dressed.
Precision in work with no error.
Proactive and approachable attitude.
Ability to multitask and handle administrative and HR responsibilities efficiently.

Computer Skills:

MS Office: Word, Excel, PowerPoint
