About Us A.S. Clearing & Forwarding (India) Pvt Ltd (ASCF), established in 1999 and headquartered in Kharghar, Navi Mumbai, is a leading ISO-certified international freight forwarding, customs brokerage, and logistics management company. With 20+ years of expertise, 400+ clients, and 14+ branches across India, we are a government-approved Customs Broker delivering excellence in global trade solutions.

Job Summary We are looking for an experienced Import–Export Documentation & Compliance Head to lead and oversee all aspects of trade documentation, customs compliance, and regulatory operations across ASCF's headquarters and branch network. This role is critical to ensuring seamless customs clearance, accurate documentation, and full compliance with Indian customs laws, DGFT regulations, and international trade requirements.

Key Responsibilities

Documentation & Operations

Lead and supervise the preparation, verification, and filing of all import-export documentation including Bills of Entry, Shipping Bills, Bills of Lading, Certificates of Origin, Letters of Credit, and commercial invoices
Ensure accurate HS code classification and proper valuation of goods as per Customs Tariff Act
Oversee documentation for all modes — sea freight, air freight, and multimodal shipments across 14+ branch offices
Manage documentation for specialized cargo including ODC (Over Dimensional Cargo), ferrous/non-ferrous scrap, hazardous goods, and project cargo
Coordinate with shipping lines, airlines, CHAs, freight forwarders, and port/airport authorities for timely clearance

Customs Compliance & Regulatory Affairs

Ensure full compliance with Indian Customs Act, DGFT policies, FEMA regulations, GST (IGST) provisions, and allied trade laws
Monitor and implement changes in customs notifications, trade policies, FTP amendments, and regulatory updates
Manage ICEGATE filings, e-Sanchit document uploads, and EDI system operations
Handle customs assessments, audits, queries, and disputes with customs authorities
Oversee AEO (Authorized Economic Operator) compliance and maintain certification standards

Licensing & Approvals

Manage all trade licenses including IEC, DGFT licenses (Advance Authorization, EPCG, DFIA), bonded warehouse licenses, and special permissions
Track license utilization, obligation fulfillment, and ensure timely closure/redemption
Handle duty exemption schemes, drawback claims, and refund processes

Team Management & Process Improvement

Lead a team of documentation executives and compliance officers across multiple branches
Develop and implement SOPs for documentation workflows, quality checks, and compliance protocols
Establish audit mechanisms to ensure zero-error documentation and timely filing

Client & Stakeholder Coordination

Act as the primary escalation point for complex customs matters, classification disputes, and compliance issues
Liaise with clients to advise on documentation requirements, duty structures, trade incentives, and regulatory obligations
Coordinate with government bodies including Customs, DGFT, FSSAI, BIS, and port authorities
Prepare compliance reports and MIS for senior management

Qualifications

In-depth working knowledge of customs broking operations
2-5 years of experience in import-export documentation and customs compliance, with at least 1 years in a leadership role
Hands-on experience with ICEGATE, e-Sanchit, EDI systems, and customs automation platforms
Strong understanding of HS classification, customs valuation, and duty structures
Experience handling documentation for multiple ports and ICDs across India

Preferred Skills

Prior experience in a customs brokerage firm, freight forwarding company, or logistics organization
Knowledge of AEO certification processes and compliance requirements
Familiarity with IATA, FIATA, and international trade documentation standards
Proficiency in ERP/logistics software and MS Office
Strong leadership, analytical, and problem-solving skills
