Data Entry Operator

About the Role

We are looking for a reliable and detail-oriented Data Entry Operator to manage day-to-day sales and purchase entries, maintain records, handle incoming and outgoing phone calls, and provide support for basic accounting functions. The ideal candidate should have good communication skills, proficiency in computer applications, and a sound understanding of accounting concepts.

Key ResponsibilitiesData Entry and Record Management

Enter daily sales and purchase transactions accurately into the accounting system.
Maintain and update customer, supplier, and inventory records.
Verify and reconcile data to ensure accuracy and completeness.
Prepare and maintain files, reports, and documentation related to sales and purchases.
Generate periodic reports as required by management.

Accounts and Finance Support

Assist in maintaining accounts receivable and accounts payable records.
Prepare invoices, quotations, and purchase orders.
Perform basic account reconciliation and ledger maintenance.
Coordinate with the accounts department for payment follow-ups and documentation.
Ensure proper filing and record keeping of bills, vouchers, and invoices.
Support GST-related documentation and other accounting activities as required.

Telephone and Communication Handling

Attend incoming phone calls professionally and direct them to the appropriate department.
Respond to customer and vendor inquiries regarding orders, invoices, and payments.
Follow up with customers and suppliers for pending documents and payments.
Maintain good relationships with clients and vendors through effective communication.

Administrative Duties

Maintain office records and documentation systematically.
Assist with routine administrative and clerical tasks.
Coordinate with internal departments for smooth daily operations.
Handle email correspondence and maintain digital records.

Required Skills and Qualifications

Bachelor's degree or Higher Secondary qualification with relevant experience.
1–3 years of experience in data entry, accounts, or administrative roles.
Basic knowledge of accounting principles and bookkeeping.
Proficiency in MS Excel, MS Word, and accounting software such as Tally ERP/Tally Prime.
Good typing speed with high accuracy.
Strong communication and telephone etiquette.
Ability to multitask and work independently.
Good organizational and time-management skills.
Knowledge of GST and invoicing procedures will be an added advantage.

Comfortable handling both administrative and accounting-related work.
Ability to maintain confidentiality of financial information.
Strong problem-solving and coordination skills.
