Key Responsibilities:
1. Hard Services Management (Technical Operations):
- Oversee operations and maintenance of all critical engineering systems, including:
o HVAC systems (chillers, AHUs, FCUs)
o Electrical systems (HT/LT panels, transformers, UPS, DG sets)
o Plumbing systems, STP/ETP, water management
o Fire & life safety systems (hydrants, sprinklers, alarms)
o Building Management Systems (BMS)
- Ensure preventive and predictive maintenance programs are implemented and tracked.
- Maintain zero downtime for critical systems through proactive monitoring.
- Manage AMC contracts, vendor SLAs, and performance reviews.
- Lead energy optimization and cost reduction initiatives.
2. Soft Services Management:
- Manage housekeeping, pest control, landscaping, façade cleaning, and waste management.
- Ensure high hygiene standards across all areas including workspaces, washrooms, cafeterias, and common areas.
- Implement SOPs and service benchmarks for consistent service delivery.
- Conduct regular audits and drive continuous improvement.
- Oversee cafeteria operations and vendor performance (if applicable).
3. Workplace Experience, Events & Client Visits:
- Plan and execute corporate events, leadership visits, and town halls.
- Manage VIP visits, audits, and client walkthroughs ensuring world-class experience.
- Coordinate workspace readiness, branding, and hospitality services.
- Ensure seamless meeting room management and space utilization.
- Drive initiatives to enhance employee experience and engagement.
4. ESG (Environmental, Social, Governance) & Sustainability
- Lead ESG initiatives aligned with frameworks such as GRI, BRSR, and ISO 14001.
o Energy efficiency and carbon footprint reduction
o Waste segregation and recycling
o Water conservation
- Track and report ESG KPIs and metrics.
- Support sustainability certifications such as LEED / IGBC / WELL.
5. CSR (Corporate Social Responsibility)
- Coordinate CSR initiatives such as:
o Community outreach programs
o NGO partnerships
o Donation drives and employee volunteering
- Ensure alignment with company CSR strategy and compliance requirements.
- Track CSR impact and reporting metrics.
6. Compliance, Risk & Governance
- Ensure adherence to all statutory and regulatory requirements, including:
o Fire safety norms
o Electrical safety compliance
o Labor laws and vendor compliance
- Maintain all licenses, permits, and audit documentation.
- Conduct internal audits and support external audits (ISO, ESG, statutory).
- Drive Business Continuity Planning (BCP) and emergency preparedness.
7. Vendor & Builder Management
- Manage relationships with:
o Landlords/builders/developers
o Facility vendors and service providers
- Oversee lease compliance and coordinate with builders on:
o Fit-outs and handovers
o Infrastructure issues
- Ensure vendor SLAs, KPIs, and contractual obligations are met.
8. Work Order & Asset Management
- Manage CMMS/CAFМ tools for:
o Work order tracking and closure
o Preventive maintenance scheduling
o Asset lifecycle management
- Ensure timely resolution of service requests.
- Maintain asset registers and documentation.
9. Financial & Budget Management
- Prepare and manage facility budgets (OPEX & CAPEX).
- Track expenses, identify cost-saving opportunities, and optimize spend.
- Manage procurement processes and vendor negotiations.
- Ensure adherence to financial controls and audit requirements.
10. People Management & Leadership
- Lead and manage a team of:
o Engineers
o Supervisors
o Soft service staff
- Drive performance management, coaching, and development.
- Ensure high levels of team engagement and productivity.
- Manage staffing, rostering, and manpower planning.
11. Stakeholder Management
- Act as a key interface between business units, leadership, and vendors.
- Build strong relationships with internal stakeholders to understand requirements.
- Provide regular MIS reports and dashboards to leadership.
- Handle escalations and ensure high stakeholder satisfaction.
12. Training & Capability Development
- Conduct training programs for:
o Safety and emergency response
o SOP adherence
o Technical skill enhancement
- Ensure all staff are trained on compliance and operational standards.
- Drive awareness programs on ESG, safety, and workplace policies.
13. Safety, Security & Business Continuity
(Additional critical area often missed — adding this as a strong differentiator)
- Ensure implementation of EHS (Environment, Health & Safety) standards.
- Conduct mock drills (fire, evacuation, disaster recovery).
- Oversee physical security systems and protocols.
- Develop and maintain BCP plans and crisis management frameworks.

Qualifications & Experience
- Bachelor’s degree in engineering / Facilities Management / Related field
- 8–15+ years of experience in Facility Management / IFM
- Certifications preferred:
o ISO 14001 / ISO 45001
o LEED / IGBC
o ESG / Sustainability certifications
