Back Office Executive / Executive Assistant – Recruitment & Operations

Company: Daruwalla Consultancy Services LLP
Location: CST, Fort, Mumbai
Experience: 2 to 5+ Years
Employment Type: Full Time
Reporting To: Director

We are looking for a highly active, responsible, and ownership-driven Back Office Executive / Executive Assistant who can handle recruitment coordination, operational support, executive assistance, client communication, and IT coordination while working directly with the Director and senior recruitment specialists.

This is not a routine desk job. The role requires someone who is proactive, responsive, organized, mentally alert, and capable of handling multiple responsibilities simultaneously. The candidate must be willing to stay connected beyond official working hours whenever operational requirements arise.

The selected candidate will become a central support pillar for the company’s day-to-day operations, recruitment processes, client coordination, internal follow-ups, and executive support activities.

Executive & Director Support

Coordinate directly with the Director on daily operational activities
Manage schedules, follow-ups, reminders, tasks, and pending activities
Maintain proper communication flow between teams, clients, and management
Prepare reports, updates, spreadsheets, trackers, and documentation
Ensure important tasks and commitments are completed on time
Take ownership of assigned projects and ensure smooth execution

Recruitment & HR Coordination

Assist recruitment recruiters with sourcing, calling, screening, and scheduling interviews
Coordinate with candidates for interviews, joining formalities, and documentation
Follow up continuously with candidates and recruiters until positions are closed
Maintain recruitment databases, reports, and candidate records
Handle bulk calling and interview line-ups whenever required
Coordinate with senior talent and recruitment specialists regularly

Back Office & Operational Support

Handle daily operational coordination and backend support activities
Ensure all internal processes are streamlined and running efficiently
Maintain proper records, reports, MIS, and documentation
Ensure no project, requirement, or client deliverable is delayed
Coordinate internally with teams for smooth execution of work

Client Communication & Email Handling

Send professional emails and replies to clients and candidates
Handle customer communication professionally and promptly
Maintain proper communication etiquette over calls, WhatsApp, and email
Escalate important issues immediately to management

IT & Technical Coordination

Coordinate with IT support teams and vendors whenever required
Provide basic operational and backend technical assistance
Support in handling CRM systems, spreadsheets, portals, job postings, and online coordination
Manage company-operated devices responsibly

Ownership & Availability

Must be highly responsive and available whenever operationally required
Should be comfortable handling urgent coordination beyond official office hours
Must have a strong follow-up mentality and task completion attitude
Should be willing to work in a fast-moving, high-responsibility environment
Must be dependable, disciplined, and capable of handling pressure

Required Skills

Excellent communication skills in English
Strong calling and follow-up abilities
Good knowledge of MS Excel, Google Sheets, Email Handling, and Internet Operations
Basic understanding of recruitment and HR coordination
Strong multitasking and organizational abilities
Ability to coordinate with multiple people simultaneously
Strong sense of responsibility and ownership
Professional attitude with high attention to detail
Ability to work directly under management supervision

Important Note

Pay: ₹15,000.00 - ₹30,000.00 per month
