**THE ROLE**
We're hiring an Operations Manager to own day-to-day clinic operations. This is **not an administrative role**—you'll be accountable for occupancy, revenue, client satisfaction, staff performance, and business metrics.
You'll free our leadership to focus on growth and expansion while ensuring Aluva runs flawlessly without founder input.

**WHAT YOU'LL DO**
**Daily Operations (30%)**
- Open/close clinic with safety and hygiene checklists
- Manage therapy schedules, room allocation, and equipment
- Handle maintenance and supply inventory
- Ensure clinic standards are met daily
**Client Management (25%)**
- Process onboarding (intake, consent, assessments)
- Track attendance and send appointment reminders
- Handle client queries and complaints
- Maintain client confidentiality and data security
**Billing & Revenue (15%)**
- Generate invoices in Petals OS after each session
- Track payments and follow up on overdue accounts
- Reconcile daily cash and prepare weekly revenue summaries
- Process refunds and adjustments (with approval for large amounts)
**Staff & Scheduling (15%)**
- Create weekly/monthly therapy schedules
- Track attendance, leave, and payroll records
- Coordinate with therapists on session planning
- Flag performance issues early
**Systems & Reporting (10%)**
- Daily data entry in Petals OS (attendance, invoices, payments)
- Weekly dashboard reports to leadership (Friday 5 PM)
- Track occupancy, revenue, leads, and client metrics
- Monthly review meeting with leadership team
**Quality & Compliance (5%)**
- Monitor hygiene, safety, and infection control
- Collect client feedback and resolve complaints
- Escalate clinical concerns to Clinical Head
- Maintain policy compliance

**DECISION AUTHORITY**
**You decide:**
- Leave approvals (within policy)
- Session rescheduling
- Client queries
- Routine supplies (<₹2,000)
- Minor billing adjustments (<₹500)
**You escalate to Rizwan (Business Operator):**
- Pricing changes, discounts, new services
- Equipment purchases (>₹2,000)
- Staff hiring/performance issues
- Marketing experiments
**You escalate to Nilufer (Clinical Head):**
- Changes to therapy protocols
- Client assessment concerns
- Staff clinical performance

**REQUIRED QUALIFICATIONS**
**Education:**
- Bachelor/ Master's degree in Business, Hospital Administration, Healthcare Management, or equivalent
- (Strong operational experience may substitute for degree)
**Experience:**
- 2-4 years in clinic/healthcare operations, education centre management, or small business operations
- Proven track record managing daily operations, staff, and finances
- Clinic management system experience is a plus
**Technical Skills:**
- Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar)
- Comfortable learning new software (Petals OS clinic management system)
- Basic Excel and data entry skills
- Fluent in Malayalam and English (written and verbal)
**Soft Skills:**
- Strong organizational and multitasking abilities
- Excellent communication (clients, staff, leadership)
- Problem-solving mindset and independent thinking
- Customer-centric and empathetic approach
- Reliable, detail-oriented, and accountable
- Willingness to learn healthcare/therapy concepts (not required to be a therapist)

- **Revenue:** 90% invoiced and paid on time
- **Attendance:** 85%+ sessions completed

- **Client satisfaction:** 4.5+/5 rating
- **Reports:** Submitted on time, every week

**COMPENSATION & BENEFITS**
- **Salary:** ₹20,000 - ₹35,000/month (based on experience)
- **Attendance bonus:** Up to ₹1,000/month for 100% attendance
- **Performance incentive:** Up to ₹3,000/quarter based on KPI achievement

**WORKING CONDITIONS**
- **Hours:** Monday-Saturday, 9 AM - 6 PM (1-hour lunch break)
- **Location:** On-site at Petals clinic, Aluva (may include travel to new units if we expand)
- **Environment:** Fast-paced clinic with constant client interaction; exposure to children with developmental differences; small, collaborative team

**ONBOARDING**
First 90 days:
- Shadow current operations and understand all processes
- Get trained on Petals OS and clinic systems
- Build relationships with therapists
- Document processes and create operational checklists
- Gradual transition to full ownership with Rizwan's support
Ongoing: Weekly 1:1s (first 3 months), monthly performance reviews, access to documentation.
