Job Opening: Purchase Executive

Role: Purchase Executive

Objective: To manage end-to-end procurement of materials, equipment, and services for civil, electrical, and MEP projects — ensuring timely sourcing, cost-effective purchasing, vendor development, and compliance with project requirements and company procedures.

Context: The Purchase Executive will work closely with the project management, site, stores, and accounts teams at Harcharan Dass Gupta (HDG). The role involves procurement for multiple ongoing projects across locations including civil construction materials, electrical items, MEP equipment, and general site requirements. HDG operates as a CPWD Class 1A contractor with government and institutional projects pan-India, requiring the Purchase Executive to handle high-value procurement with accuracy, urgency, and full documentation.

Key Responsibilities: Receive and process material requisitions from site and project teams for civil, electrical, and MEP works. Float enquiries, obtain comparative quotations, and prepare comparative statements for approval. Negotiate with vendors for best price, quality, credit terms, and delivery schedules. Issue purchase orders and ensure timely delivery of materials to project sites. Coordinate with stores team for material receipt, inspection, and GRN (Goods Receipt Note) preparation.

Additional Responsibilities: Develop and maintain an approved vendor database for all material categories — civil, electrical, hardware, MEP, and consumables. Follow up with suppliers for delivery status and resolve supply shortfalls proactively. Coordinate with accounts for vendor payment processing, advance adjustments, and invoice clearance. Maintain purchase records — POs, invoices, delivery challans, and comparative statements — in an organized manner. Track and reconcile material consumption against purchase orders and project BOQ. Handle procurement for multiple project sites simultaneously across Gurugram, Leh, NCR, and other locations. Support rate contract finalization for recurring material requirements. Ensure all procurement documentation is in order for audit and compliance purposes. Coordinate with logistics for timely dispatch and receipt of materials at remote project sites including Leh.

Technical & Functional Tasks: Proficient in MS Office — Word, Excel — and Google Sheets for purchase tracking, MIS, and reporting. Ability to read and interpret BOQ, material schedules, and technical specifications for civil and electrical items. Knowledge of market rates for construction materials — steel, cement, aggregates, pipes, electrical cables, panels, conduits, fittings, HVAC components, and allied items. Familiarity with GST, e-way bills, and documentation requirements for material procurement and interstate transportation. Knowledge of import procedures and freight coordination for specialized equipment procurement is an advantage. Experience with ERP or purchase management software is an advantage.

Notes: Education: B.E./B.Tech/Diploma in Civil, Electrical, or Mechanical Engineering; or Graduate with relevant purchase experience in construction or contracting firms. Strong negotiation, communication, and vendor management skills required. Prior experience in procurement for construction, contracting, or infrastructure companies preferred. Must be detail-oriented, organized, and capable of handling multiple procurement requests simultaneously under tight project deadlines. Willingness to visit vendor sites, project locations, warehouses, and material yards as required. Candidates with experience procuring for government or CPWD projects will be given preference.
