We're looking for a proactive, detail-oriented Executive Assistant to provide high-quality administrative support to a senior leader at Hyland. In this role, you'll manage calendars, coordinate meetings, handle communications, and keep operations running seamlessly behind the scenes. Ideally, you bring experience working within software product companies, services organizations, or Big 4 firms — environments where pace, precision, and executive partnership are paramount. Coordinate, manage, and maintain the executive's calendar and daily schedule, anticipating needs and resolving operational issues before they arise.

Screen incoming correspondence and communications, responding independently when possible with professionalism and discretion.

Manage logistics for internal and external meetings, including scheduling conference rooms, arranging catering, preparing agendas, and distributing meeting minutes.

Arrange travel plans and itineraries, and compile documents for travel-related meetings.

Ensure expense reports and purchase orders are completed accurately, within budget limits, and approved within the system.

Utilize internal systems and digital technologies in an adaptive, confident, and responsible manner to find innovative ways to improve efficiency across executive office operations.

Bachelor's degree or equivalent experience, with 5–10 years of direct experience supporting and working with executives, preferably within software product companies, services organizations, or Big 4 firms.

Good oral and written communication skills with a professional demeanor and the ability to interact with discretion and tact.

Good organizational, multi-tasking, and time management skills with the ability to work effectively in a flexible, fast-paced environment.

Proficiency with Microsoft Office and Microsoft Outlook or equivalent email and calendar software.

Demonstrated ability to handle sensitive information with discretion, tact, and exceptional follow-through.

Ability to handle a high amount of stress and perform effectively under deadline pressure while maintaining quality and professionalism.

Good interpersonal skills with the ability to maintain solid rapport with team members and professionalism with external stakeholders.

Self-motivated with strong attention to detail and a proactive approach to wide-ranging responsibilities.

Good ability to develop and use engaging, informative, and compelling presentation methodologies.

Experience with expense management systems and purchase order processes within a corporate or enterprise environment.
