About the Role
We are looking for a highly organized, smart, proactive, and dependable Personal Assistant / Executive Assistant to work closely with the founder of a fast-growing consumer brand.
This is a high-ownership role for someone who can act as the founder’s right hand—supporting daily operations, managing communication, coordinating teams, organizing schedules, and ensuring smooth execution across business activities.
The ideal candidate is sharp, detail-oriented, presentable, excellent at communication, and capable of handling multiple responsibilities in a fast-paced environment.
Key ResponsibilitiesFounder Support & Daily Coordination
- Work closely with the founder and shadow day-to-day business activities
- Assist in executing daily priorities, tasks, and follow-ups
- Act as an extension of the founder to ensure smooth coordination across functions
- Help organize daily schedules, meetings, reminders, and task lists
- Track deadlines, commitments, and important action items
- Ensure nothing important is missed or delayed
Team Coordination & Execution Management
- Coordinate with internal team members to track ongoing work
- Follow up with team members for updates, deadlines, and deliverables
- Help manage execution of tasks assigned by the founder
- Escalate delays, bottlenecks, or issues proactively
- Maintain accountability and workflow discipline within the team
Communication Management
- Handle incoming calls professionally and route communication appropriately
- Draft, manage, and respond to emails on behalf of the founder when required
- Coordinate with clients, vendors, partners, and team members professionally
- Manage WhatsApp and other business communications as needed
- Maintain communication records and important correspondence
Administrative & Documentation Support
- Create and maintain reports, trackers, documents, and business records
- Prepare presentations, proposals, and meeting notes
- Manage data using MS Excel / Google Sheets
- Draft documents in MS Word
- Organize files, folders, business documents, and digital records
- Maintain structured documentation for easy access
Content & Brand Support
- Capture photos and videos for business use (events, products, BTS content, social media support)
- Assist with basic content creation coordination
- Help organize marketing materials and presentations
- Support social media or brand communication tasks when needed
- Basic knowledge of Canva is a plus
Operational Support
- Coordinate meetings, appointments, events, and logistics
- Handle ad-hoc problem solving and urgent tasks efficiently
- Support founder during business visits, meetings, shoots, events, and operational activities
- Assist with vendor coordination and miscellaneous execution tasks
