As a Party Coordinator, your responsibility is to focus on organizing, managing, and
overseeing events and parties held at the gaming facility. This role requires excellent
organizational skills, customer service, and the ability to ensure a seamless experience for
guests. Below are the key responsibilities:
a. Event and Party Planning:
Coordinate and plan events and parties for individuals, schools, businesses, and groups,
ensuring that all elements are tailored to the client’s needs.
Work with customers to customize party packages, including selecting games, activities, food,
decorations, and entertainment options.
Provide detailed information to clients about available packages, pricing, and services, helping
them select the best options for their event.
Ensure that all requests and special requirements from clients are met, including specific game
preferences or custom themes.
b. Client Consultation and Communication:
Meet with clients before events to discuss their expectations, preferences, and event logistics.
Maintain clear communication with clients throughout the planning process, addressing any
concerns or changes to the event plan.
Follow up with clients post-event to gather feedback on their experience and improve future
services.
c. Event Coordination and Execution:
Oversee the setup and breakdown of event spaces, ensuring that games, seating arrangements,
food, and decorations are prepared before guests arrive.
Ensure smooth operations during the event, monitoring the gaming zones, managing guest
needs, and making sure that all activities run on time.
Manage staff assignments, ensuring that each team member knows their responsibilities during
the event (e.g., food service, game supervision, crowd control).
Assist with game-related issues, ensuring that all gaming equipment is functioning properly and
assisting guests with any technical difficulties.
Coordinate guest arrival, registration, and departure, ensuring that the flow of the event is
organized and everyone is well taken care of.
d. Customer Service:
Provide exceptional customer service, ensuring that party guests have an enjoyable and
memorable experience throughout their visit.
Handle special requests from clients or party guests, such as dietary restrictions, preferences,
or custom arrangements. Address any issues or complaints during the event promptly and
professionally to ensure customer satisfaction.

e. Sales and Upselling:
Promote additional services and upgrades, such as special food or drink options, custom
decorations, or VIP experiences. Upsell party packages or extra games and activities to increase
revenue per booking.
Offer clients loyalty programs or future event discounts to encourage repeat business and long-
term relationships.
f. Team Coordination and Staff Management:
Coordinate with internal teams, such as the operations, kitchen, and technical staff, to ensure
all aspects of the event are aligned and executed flawlessly.
Manage and train event staff, ensuring they are prepared for the event, understand their roles,
and provide excellent service to guests.
Ensure that staff maintain a professional appearance and attitude during events, adhering to
company standards.
g. Budgeting and Cost Control:
Work with clients to create a budget for their party or event, ensuring that services and
packages align with their financial expectations.
Monitor event-related expenses, ensuring that costs are within budget without compromising
on the quality of service. Handle payment processing for parties and events, including deposits,
final payments, and any additional charges for upgrades or extra services.
h. Event Marketing and Promotion:
Help promote party packages and special offers, working closely with the marketing team to
advertise events through social media, email newsletters, or in-store promotions.
Assist in creating promotional materials that highlight event offerings, including brochures,
posters, or online content. Collect and display testimonials and event photos from satisfied
clients to promote the gaming zone as an ideal venue for parties.
i. Post-Event Follow-Up:
Follow up with clients after their events to ensure they were satisfied with the experience,
asking for feedback and testimonials. Ensure that any lost items or post-event issues are
addressed and resolved.
Handle event reviews on social media or review platforms, responding to customer comments
or concerns in a professional manner.
j. Inventory and Equipment Management:
Monitor inventory levels of party supplies, decorations, and promotional items, ensuring that
everything needed for events is readily available.
Ensure that gaming equipment and event-related materials are maintained, functioning
properly, and set up appropriately for each event.
Coordinate with the operations team to ensure any necessary equipment repairs or
replacements are addressed promptly.
