Job Summary:
As an Assistant Property Manager at SILA, you will be responsible for the comprehensive management and maintenance of the residential property. You will ensure that all aspects of the property—including Technical Services, Housekeeping, Security, and Resident Relations—are managed effectively and in alignment with our Service Level Agreements (SLAs). Your role will be crucial in fostering a safe, clean, and welcoming environment for residents, while also managing vendor relationships, optimizing operational costs, and ensuring compliance with safety and regulatory standards. By upholding SILA's commitment to excellence, you will play a key role in enhancing the living experience for all residents and maintaining the property’s value.
Key Responsibilities:
Operational Management:
- Oversee all aspects of property management, including Technical Services, Housekeeping, Security, Administration, and related divisions, ensuring smooth and efficient operations across the commercial property.
- Conduct regular inspections and audits of the property to ensure compliance with safety standards, maintenance schedules, and Service Level Agreements (SLAs).
- Develop and implement Standard Operating Procedures (SOPs) for all departments to ensure consistency and quality of service delivery.
- Manage the daily coordination and communication among various departments, ensuring all teams are aligned with operational goals.
Vendor and Contract Management:
- Lead the vendor selection process, negotiate contracts, and manage relationships with service providers, including Annual Maintenance Contracts (AMCs) with Original Equipment Manufacturers (OEMs) and other key vendors.
- Monitor vendor performance through regular review meetings and performance scorecards, ensuring all services are delivered as per contractual agreements.
- Ensure that all contracted maintenance and service activities are executed on time and meet the required standards.
Financial and Resource Management:
- Collaborate with accounting teams to prepare and manage the property’s budget, ensuring cost-effective operations and adherence to financial targets.
- Oversee procurement processes, including the selection and negotiation with service vendors, to ensure the best value for the property.
- Ensure the availability and optimal use of resources, including maintaining inventory levels of critical supplies and consumables.
Maintenance and Safety:
- Develop and enforce preventive maintenance schedules for all critical systems, including MEP (Mechanical, Electrical, Plumbing), fire safety, and security systems, ensuring minimal downtime and operational efficiency.
- Implement and monitor risk management and safety practices, conducting regular safety drills and compliance checks to uphold the highest standards of safety and security.
- Ensure all maintenance activities are documented and reported, maintaining transparency and accountability.
Resident and Stakeholder Engagement:
- Foster strong relationships with property tenants, regularly collecting feedback to identify areas for improvement and ensure tenant satisfaction.
- Serve as the primary point of contact between the property management team, tenants, and other stakeholders, ensuring clear communication and prompt resolution of issues.
- Organize and lead meetings with the Property Management Committee, vendors, and other stakeholders to review performance, discuss concerns, and plan future activities.
Reporting and Documentation:
- Prepare detailed reports for SILA management and the Property Management Committee, summarizing operational activities, financial performance, and compliance status.
- Ensure all compliance-related documentation is up to date, including safety protocols, maintenance logs, and financial records.
- Maintain accurate records of all property-related activities, ensuring transparency and ease of access for audits and reviews.
- Maintaining attendance in SILA connect and ensuring timely client approvals for seamless invoicing and payroll processing
Qualifications:
- Education: Bachelor's degree in Engineering or a related field.
- Experience: Minimum of 5-7 years in facility or property management, with a focus on residential properties.
Skills:
- Strong leadership and operational management skills.
- Expertise in vendor management, maintenance scheduling, and safety protocols.
- Proficiency in facility management software and MS Office.
- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks and priorities in a dynamic environment.
Additional Qualifications:
- Knowledge of energy conservation practices and sustainable operations.
