Full job description

Designation: Document Controller

Qualification & Experience:

Bachelor's Degree or Diploma in Engineering, Business Administration, Management, or related field.
Minimum 5–10 years of experience as a Document Controller in EPC, Oil & Gas, Manufacturing, Process Industries, Renewable Energy, or Industrial Projects.
Experience in handling engineering documents, drawings, vendor documentation, and project records.
Knowledge of document management systems (DMS) and project documentation procedures.

Skills:

Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
Experience with Document Management Systems (DMS), ERP platforms, and project management tools.
Strong knowledge of document control processes, numbering systems, revision control, and transmittal procedures.
Excellent organizational and record-keeping skills.
Strong communication and coordination abilities.
High attention to detail and accuracy.
Ability to manage multiple projects and deadlines simultaneously.
Knowledge of ISO documentation standards and quality management systems will be an advantage.

Responsibilities:

Establish, maintain, and manage project document control systems and procedures.
Receive, register, track, distribute, and archive engineering, technical, commercial, and project documents.
Ensure proper document numbering, revision control, filing, and retrieval processes are followed.
Maintain document registers, logs, transmittals, and project correspondence records.
Coordinate with engineering, procurement, quality, project management, vendors, and clients for document submissions and approvals.
Monitor document status and ensure timely review, approval, and distribution of project documents.
Manage controlled copies of drawings, specifications, manuals, procedures, and reports.
Ensure all project documentation complies with company standards, client requirements, and quality management systems.
Prepare periodic document control reports and status updates for project teams and management.
Support project close-out activities, including compilation and submission of final documentation, as-built drawings, and handover dossiers.
Maintain confidentiality and security of all project and company records.
Assist in audits and ensure compliance with document retention and record management policies.
