Experience

Minimum 8–10 years of relevant professional experience in Finance and Accounts, preferably with a development sector, NGO/INGO, charitable institution or similar organisation.

Job Description

Caritas India invites applications from qualified and experienced professionals for the position of Lead – Admin Finance. This is primarily a Finance leadership role, responsible for ensuring sound financial management, statutory compliance, budgeting, financial reporting, audit coordination, investment and asset management, salary administration, and effective financial controls across the Organisation. The position will work closely with the Management, Finance Committee, programme teams, auditors, banks, Human Resources and other relevant stakeholders to ensure transparency, accountability, compliance and prudent stewardship of organisational resources. The role also includes oversight and coordination of the Admin Finance team and responsibilities related to procurement and financial capacity building.

KEY RESPONSIBILITIES:

Financial Management and Budgeting

Oversee the preparation, consolidation and monitoring of the Organisation’s annual budget in alignment with organisational priorities and approved financial policies.
Plan, monitor and regularly track organisational cash flow to ensure adequate liquidity and financial stability. Strengthen the efficiency and effectiveness of budgeting, financial controls, systems and procedures.
Monitor income and expenditure against approved budgets and provide timely financial analysis to the Management. Ensure appropriate allocation, utilisation and accounting of organisational and programme funds.

Statutory Accounts and Legal Compliance

Ensure compliance with all applicable statutory, legal and regulatory financial requirements.
Ensure proper maintenance of books of accounts, supporting documents and financial records. Ensure timely compliance with applicable requirements relating to Income Tax, FCRA, EPF, TDS and other statutory obligations.
Coordinate and facilitate statutory, internal, programme/donor and special audits and ensure timely closure of audit observations. Ensure that financial systems and practices remain aligned with organisational policies and applicable national regulations.

Investment and Asset Management

Monitor organisational investments, deposits and funds and provide appropriate recommendations to the Management for prudent investment and optimum returns.
Ensure proper maintenance and reconciliation of organisational assets with audited financial records.
Ensure appropriate insurance coverage of organisational assets and timely renewal of insurance policies. Maintain appropriate systems for safeguarding and verification of organisational assets.

Salary Administration

Ensure timely and accurate preparation and processing of monthly salary statements in coordination with Human Resources.
Ensure approved salary revisions, increments, deductions and other payroll-related changes are correctly implemented.
Ensure statutory deductions and contributions relating to payroll are accurately processed and deposited within prescribed timelines.
Support HR in addressing financial aspects of staff separation, including final settlement and queries relating to PF and other applicable financial matters.

Financial Reporting, Audit and Governance Support

Ensure preparation and maintenance of financial accounts, statements and reports in accordance with applicable statutory requirements and organisational policies.
Ensure timely preparation of financial information required for the Organisation’s Annual Report and other statutory or management reporting.
Facilitate and coordinate Finance Committee meetings, including preparation of relevant financial information and follow-up on decisions
Provide necessary financial and administrative support for the conduct of Governing Board and General Body meetings.
Ensure statutory audits, internal audits and special audits are conducted as required by the Organisation.
Present financial information, analysis and recommendations to the Management and relevant governance bodies as required.

Team Management and Cross-functional Coordination

Lead, guide and supervise the Admin Finance team to ensure effective delivery of finance and related administrative functions.
Review team requirements, strengthen capacities, systems and procedures, and promote accountability and teamwork.
Foster effective collaboration between Finance, Programmes, Human Resources and other departments.
Support the Human Resources Department in the recruitment and selection of Finance personnel, as required.
Promote continuous learning and professional development within the Finance team.

Stewardship and Internal Controls

Ensure that the financial resources of Caritas India are prudently, efficiently and optimally managed and safeguarded.
Strengthen internal financial controls and ensure adherence to approved financial policies and procedures.
Identify financial and compliance risks and recommend appropriate mitigation measures.
Maintain strict confidentiality and integrity in handling sensitive financial and organisational information.
Promote transparency, accountability and responsible stewardship of organisational resources.

Capacity Building and Procurement Committee Responsibilities

Provide financial management orientation and capacity building to new Diocesan Directors and other relevant stakeholders.
Facilitate sessions on strengthening institutional financial management as part of DDC and other capacity building initiatives.
Serve as a member of the Procurement Committee and discharge responsibilities in accordance with the Organisation’s procurement policies and procedures.
Provide financial guidance and clarification to relevant departments, including HR, on matters relating to staff final settlements, PF and other finance-related issues.
Undertake any other finance-related responsibility assigned by the Management from time to time.

Qualifications

Master’s degree in Commerce, Finance, Accounting, Business Administration (Finance) or a related discipline from a recognised university/institution.
Professional qualification such as CA/CMA/ICWA/MBA (Finance) or equivalent will be an added advantage.
Sound knowledge of accounting principles, financial management, budgeting, statutory compliance, taxation and audit requirements.
Good understanding of financial regulations applicable to not-for-profit/development organisations, including FCRA and Income Tax provisions, is highly desirable.
Proficiency in accounting/financial management software and MS Excel is essential.

Experience

Minimum 8–10 years of relevant professional experience in Finance and Accounts, preferably with a development sector, NGO/INGO, charitable institution or similar organisation.

At least 3 years of experience in a supervisory or managerial role, leading a Finance/Accounts team.
Demonstrated experience in budgeting, financial reporting, statutory compliance, audit management, cash-flow management, internal financial controls and payroll.
Experience in handling FCRA accounts, statutory audits, donor/project audits and financial reporting will be an advantage.
Experience in working with senior management, auditors, governance bodies and external stakeholders is desirable.

Language Competency

Fluency of Hindi and English, both written and spoken.
