Full job description

Role Overview

We are looking for a detail-oriented and proactive Printing & Outsourcing Co-ordinator to join our manufacturing team in Bengaluru. In this role, you will be the central point of coordination between vendors, production, sales, and finance- ensuring that outsourced printing jobs are executed on time, within budget, and to quality standards. You will manage the full lifecycle of outsourced work, from vendor sourcing and negotiation to material inward/outward and documentation.

Key Responsibilities

Vendor Management & Outsourcing

Negotiate pricing, lead times, and service terms with vendors to achieve cost-effective outcomes.
Maintain an up-to-date vendor database including rates, capacities, turnaround times, and quality ratings.
Follow up with vendors to ensure timely delivery and adherence to job specifications.
Resolve vendor-related issues such as quality rejections, delays, or discrepancies.

Material Inward & Outward

Oversee and coordinate the inward movement of raw materials and outsourced goods from vendors.
Manage outward dispatch of materials and finished goods to vendors and clients.
Verify incoming materials against purchase orders for quantity, quality, and specifications.
Ensure proper storage, labelling, and handling of materials at the facility.

Documentation & Compliance

Raise Goods Receipt Notes (GRNs) accurately and in a timely manner upon material receipt.
Create Purchase Orders (POs) for material purchase and Delivery Challans (DCs) for material dispatches, both to vendors and clients.
Maintain accurate records of all inward/outward transactions for audit and reconciliation purposes.
Ensure compliance with GST documentation requirements for all vendor transactions.
Co-ordinate with the finance team for invoice verification, payment follow-ups, and resolving billing discrepancies.

Production Co-ordination

Liaise with the internal production team to understand outsourcing requirements and job priorities.
Track and report the status of outsourced jobs to relevant stakeholders.
Co-ordinate with the quality control team to inspect outsourced materials and flagged rejections.
Assist in scheduling and capacity planning for outsourced production activities.

Sales & Client Co-ordination

Work closely with the sales team to understand client requirements and ensure accurate job specifications are communicated to vendors.
Provide timely updates to the sales team on job status, delivery timelines, and any deviations.
Support in preparing client-facing delivery documentation and co-ordinate sample approvals.

Field & Logistics

Undertake vendor visits as required for quality checks, press approvals, and relationship management.
Co-ordinate with logistics and transport providers for timely pick-up and delivery of materials.
Manage and record mileage, vehicle usage, and delivery co-ordination as needed.

Pay: From ₹25,000.00 per month
