Full job description

Marysadan Projects Pvt Ltd is seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative and executive support to the Managing Director. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling confidential information, facilitating communication across departments, and ensuring the efficient execution of executive tasks.

The position requires excellent organisational, communication, and coordination skills, along with the flexibility to travel for official business purposes as required.

Key Responsibilities

Manage the Managing Director's calendar, appointments, meetings, and daily schedules.
Coordinate internal and external meetings, prepare agendas, and record minutes of meetings.
Handle correspondence, emails, reports, presentations, and other official documents.
Follow up with departments regarding action items, project updates, and management directives.
Maintain confidential records, files, and sensitive business information.
Coordinate with clients, consultants, vendors, government authorities, and other stakeholders on behalf of the Managing Director.
Prepare reports, summaries, presentations, and business documents as required.
Assist in organizing company events, meetings, and official visits.
Monitor deadlines and ensure timely completion of assigned tasks.
Travel for official purposes, including project visits, client meetings, business meetings, inspections, and other company-related activities as directed by the Managing Director.
Perform any additional duties assigned by the Managing Director from time to time.

Qualifications

Bachelor's Degree in Business Administration, Management, Commerce, or a related field.
Additional qualifications in Administration or Executive Assistance will be an advantage.

Experience

Minimum 3–5 years of experience as an Executive Assistant, Personal Secretary, Executive Secretary, or similar role.
Experience in the construction, infrastructure, engineering, or project-based industry is preferred.

Required Skills

Excellent verbal and written communication skills. Hindi & English
Strong organizational and multitasking abilities.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Ability to handle confidential information with discretion.
Strong coordination and follow-up skills.
Professional attitude and interpersonal skills.
Ability to work independently and under pressure.
Willingness to travel for official duties as and when required.
