HR MANAGER - i'Deli Cafe

We are growing our i'Deli Cafe team and are looking for an experienced HR Manager to lead our people function, support outlet operations, build high-performing teams, and establish strong HR systems and practices across the organisation.
The role requires strong people leadership, excellent communication, sound knowledge of HR operations, and a genuine passion for building a positive and professional workplace culture.
Recruitment & Talent Acquisition
- Manage the complete recruitment process from manpower planning to onboarding.
- Identify staffing requirements across outlets and support functions.
- Prepare job descriptions and coordinate recruitment campaigns.
- Screen candidates, conduct interviews, and coordinate selection processes.
- Maintain an active pipeline of suitable hospitality and operational candidates.
- Ensure vacancies are filled within agreed timelines and business requirements.
- Support recruitment for new outlet openings and expansion plans.
Employee Onboarding
- Develop and manage a structured onboarding process for new employees.
- Ensure all new employees complete required documentation and formalities.
- Introduce employees to company policies, workplace standards, culture, and expectations.
- Coordinate induction and orientation programmes.
- Ensure employees are properly integrated into their respective teams and roles.
Employee Relations
- Build positive and professional relationships with employees and management.
- Address employee concerns, grievances, and workplace issues fairly and promptly.
- Support management in resolving conflicts and maintaining a healthy work environment.
- Maintain confidentiality when handling sensitive employee matters.
- Promote open communication and employee engagement across the organisation.
HR Operations
- Maintain accurate and up-to-date employee records and HR documentation.
- Manage attendance, leave, employee movements, transfers, promotions, and other HR processes.
- Ensure proper documentation of employee joining, confirmation, resignation, and exit procedures.
- Maintain HR databases and personnel files.
- Prepare regular HR reports for senior management.
Payroll & Attendance
- Coordinate monthly payroll processes and ensure accurate employee information.
- Monitor attendance, leave, overtime, incentives, deductions, and other payroll inputs.
- Work closely with finance/accounts to ensure timely salary processing.
- Identify and resolve attendance or payroll-related discrepancies.
- Maintain proper payroll and attendance records.
Performance Management
- Establish and monitor employee performance management processes.
- Coordinate probation reviews, performance evaluations, and confirmations.
- Support managers in setting performance expectations and objectives.
- Identify performance concerns and coordinate appropriate improvement plans.
- Recognise high-performing employees and support career development opportunities.
Training & Development
- Identify training requirements across outlets and departments.
- Coordinate employee training and development programmes.
- Support training in customer service, grooming, food safety, workplace behaviour, leadership, and operational standards.
- Maintain training records and monitor completion.
- Develop internal talent for future supervisory and management positions.
Employee Engagement & Culture
- Develop initiatives that improve employee motivation, engagement, and retention.
- Promote teamwork, professionalism, discipline, and a positive workplace culture.
- Organise employee engagement activities and recognition programmes.
- Gather employee feedback and identify opportunities for workplace improvement.
- Support management in creating a strong and inclusive company culture.
Policies & Compliance
- Develop, implement, and maintain HR policies and procedures.
- Ensure employees understand and follow company policies and workplace standards.
- Maintain proper disciplinary and grievance procedures.
- Ensure HR practices comply with applicable employment laws and statutory requirements.
- Coordinate required employee documentation and compliance records.
Manpower Planning
- Work closely with operations to understand current and future staffing requirements.
- Prepare manpower plans for existing and upcoming outlets.
- Monitor staffing levels, vacancies, turnover, and absenteeism.
- Support efficient deployment and workforce planning.
- Develop recruitment strategies for business expansion and new outlet openings.
New Outlet Opening
- Lead HR activities for new outlet launches.
- Prepare manpower requirements and recruitment plans.
- Coordinate hiring and onboarding of new outlet teams.
- Support pre-opening training and employee induction.
- Ensure the new team is fully staffed and operationally ready before launch.
- Establish HR processes and workplace standards from day one.
Employee Retention
- Monitor employee turnover and identify key reasons for attrition.
- Develop strategies to improve employee retention and satisfaction.
- Conduct exit interviews and analyse employee feedback.
- Work with management to improve career growth, training, recognition, and workplace practices.
Reporting & Communication
- Prepare regular HR reports covering manpower, recruitment, attendance, turnover, payroll inputs, training, and employee performance.
- Provide management with HR insights and recommendations.
- Maintain clear and timely communication with outlet managers and department heads.
- Escalate critical employee or compliance matters to senior management when required.
Experience
- 4-5 years of experience in Human Resources preferred.
- Previous experience as an HR Manager, HR Generalist, HR Business Partner, or similar leadership role preferred.
- Experience in restaurants, cafe's, hotels, hospitality, retail, QSR, or multi-outlet businesses is an advantage.
- Experience in recruitment and new outlet/team openings will be an added advantage.
Education
- Bachelor's degree in Human Resources, Business Administration, Management, or a related field preferred.
- MBA/PG Diploma in Human Resources or equivalent HR qualification will be an advantage.
- Relevant professional experience and demonstrated HR leadership ability will also be considered.
