Job Description – Returns Associate

Job Summary:

We are looking for a detail-oriented Returns Verification & Compliance Executive to manage end-to-end return validation, system scanning compliance, POD verification, and accurate return order creation. The role ensures data accuracy, timely validations, and zero gaps in returns processing across platforms and systems like Vinculum.

Key Responsibilities

1. Daily Return Verification

· Verify return initiation data daily across all platforms

· Ensure all return verifications are completed within 24 hours

· Identify and flag missing or incorrect return records to relevant team

2. System Scanning Compliance

Ensure all received returns are scanned in the system within 24 hours
Track pending scans and coordinate with warehouse teams for closure
Highlight scan delays or non-compliance for corrective action

3. Scanned Data Validation & Missing Data Closure

Validate scanned return data against physical receipts and system records
Identify missing, duplicate, or mismatched scan entries
Plug missing data and maintain 0% missing data within 48 hours

4. Pre-notification & POD Matching

Verify pre-notification details received from marketplaces or internal systems
Match PODs with receiving records and device images
Ensure POD validation is completed within 48 hours

5. Return Order Creation in Vinculum

Create return orders accurately in Vinculum within defined TAT
Ensure all mandatory fields and references are correctly updated
Avoid duplicate or incorrect return order creation

6. Data Mapping & Return Linking

Map returns correctly in Vinculum against original orders
Ensure SKU, quantity, and condition details are accurately mapped
Rectify mapping discrepancies in coordination with relevant teams

7. OTP Sharing & Validation

Share OTPs with warehouse teams for return receipt
Ensure OTP usage is correctly recorded and validated in the system

8. POD & Device Image Verification

Verify POD authenticity against system and receiving data
Match device images with scanned and physical return details
Highlight discrepancies impacting return validation or claims

9. Data Analysis

Analyze returns data to identify gaps, delays, or recurring issues
Provide data insights to support corrective and preventive actions

10. Report Publishing

Prepare and publish daily and periodic returns validation reports
Ensure reports are shared with stakeholders within defined SLA
Maintain accurate, updated, and audit-ready documentation

Skills & Requirements

Good coordination and communication skills
Proficient in Excel and operational reporting

Pay: ₹15,000.00 - ₹18,000.00 per month

This role follows a rotational weekly off between Monday to Friday. Saturdays and Sundays are generally working days, and on Sundays work will be from home. Are you comfortable with this work schedule?
In weeks where the 2nd or 4th Saturday falls, employees can avail a continuous 2-day leave for that week. Are you comfortable with this policy?
